About The Position

JLL is looking for a Lab Spatial Data Coordinator to be responsible for site auditing the design/layout of CBS spaces, equipment, and infrastructure (Electrical, Mechanical, HVAC, Data). This role will help meet compliance, space governance, and space planning initiatives, as well as ensure quality control of space usage. The coordinator will translate and capture this information in Smartsheet, Google Sheets, the Lab Infrastructure Database, AutoCAD, and Google slide presentations. During site audits, the Lab DC gathers data for layout, finishes, dimensions, equipment, and current use with photographs to update REWS data (Tririga and Floorscope). This supports Lab Occupancy Planning, Moves/Adds/Changes, Project Closeouts, Engineering, Lab Infrastructure Database updates, and Design Guidelines updates. Lab DCs create post-audit documents for all Labs and other Customized Business Support spaces as required within the client portfolio. They also perform floor walks of buildings to confirm existing space use when required.

Requirements

  • At least 4-5 years of experience in the design field or other auditing technical environments (e.g., Data centers, Hospitals, pharmaceutical, and other FFE heavy environments).
  • Familiarity with construction industry terminology and process preferred.
  • Minimum Bachelor's Degree in architecture, interior design, or related discipline from an accredited institution or comparable work experience.
  • Experience working on large-scale campus and portfolio-wide planning projects preferred.
  • Experience with Google Workspace (desirable), AutoCAD, PlanGrid, CAFM, occupancy planning software, and space data management solutions.
  • Strong organization with proven leadership and interpersonal skills.
  • Ability to perform duties under deadline pressure in a fast-paced, high-volume environment.
  • Detail-oriented and thorough with the ability to prioritize between important and most important tasks.
  • Proven record of providing excellent internal and external customer service proactively.
  • Excellent oral and written communication skills, including presentation skills.
  • Proven track record of working independently and also as part of a team.
  • Candidates must be authorized to work in the United States without sponsorship.

  • Experience within a corporate lab environment preferred (bonus points if at a tech company with lab space).

Responsibilities

  • Capturing data such as equipment details, space plans, furniture, finishes, and photographs for Engineering team reference and storage in the labs.
  • Understanding and collaborating with the Lab Planning team to identify aspects of various lab compliance, governance, and quality checks.
  • Establishing and maintaining relationships with Lab OP’s to understand the priority of Site audits.
  • Collaborating and maintaining effective working relationships with Lab Managers, Lab Occupancy Planning, Lab Moves, Project Management, Engineering, and other partner team members on all activities.
  • Coordinating with Lab Managers/POCs for Lab Audit approvals prior to lab audits, and informing WSMs and IFM RPMs of the audits.
  • Managing Lab access with the Security team to complete Lab audits in time as required.
  • Providing updates to ensure data accuracy for space, occupancy, and allocation for all labs.
  • Logging all activities in trackers and other reporting tools as specified.
  • Collaborating in the assessment of lab infrastructure.
  • Understanding and capturing infrastructure and equipment knowledge and skills.
  • Ensuring all current drawings and CAFM systems are maintained, and relevant space reports are generated on a regular basis.
