About The Position

In this role, you will report to the Onsite Service Supervisor and will work closely with the Avantor’s Advanced Laboratory Services professionals to serve our customers by performing customized, mission-based lab work and research protocols that help return time back to science. The position is currently based in Lexington, MA, with an anticipated move to Cambridge, MA in February 2027. The shift is Monday - Friday 7:00 AM - 3:30 PM. Avantor’s Advanced Laboratory Services team is a crucial part of the Avantor Services group serving over 500 customers in biopharma, pharmaceutical, educational, industrial, and high-tech industries with customizable, flexible solutions and end-to-end laboratory operations support.

Requirements

  • High school diploma or equivalent; Associate's or Bachelor's degree in a scientific discipline preferred.
  • Prior experience supporting laboratory operations, inventory control, supply chain activities, procurement processes, and/or operational functions.
  • Proficiency with inventory management systems, purchasing tools, and related business applications.
  • Strong organizational and time-management skills with a high level of accuracy and attention to detail.
  • Ability to effectively prioritize and manage multiple tasks in a dynamic, fast-paced environment.
  • Excellent interpersonal, communication, and customer service skills, with the ability to collaborate across diverse teams.
  • Experience using ARIBA, Maximo, or comparable procurement, inventory, and maintenance management systems.
  • Background working within biotechnology, pharmaceutical, life sciences, research, or other laboratory-based environments.
  • Understanding of laboratory operations, safety protocols, and best practices.
  • Demonstrated experience coordinating with vendors, contractors, and service providers to support operational objectives.
  • Ability to lift up to 50 lbs
  • Experience with ARIBA, Maximo, or similar procurement and maintenance management systems.
  • Experience working in biotechnology, pharmaceutical, life sciences, or research laboratory environments.
  • Knowledge of laboratory safety practices and laboratory operations.
  • Experience coordinating vendors and service providers.

Responsibilities

  • Manage laboratory inventory across Point-of-Use (POU) locations to ensure adequate stock levels.
  • Review, maintain, and adjust inventory stocking levels based on usage trends, demand fluctuations, and business needs.
  • Meet monthly and/or quarterly with laboratory managers and key laboratory contacts to review inventory requirements and optimize stock management.
  • Monitor backorders daily and proactively identify solutions to minimize disruptions to laboratory operations.
  • Follow up on shipping delays, supply chain issues, and delivery concerns while partnering with the Avantor customer service team and other suppliers.
  • Manage ARIBA accounts and troubleshoot invoice mismatches, purchasing issues, and system interface discrepancies.
  • Reconcile inherited blanket purchase orders and process necessary adjustments to align purchase orders with invoiced charges.
  • Partner with internal stakeholders and vendors to resolve procurement-related issues in a timely manner.
  • Track laboratory pipette calibration schedules and maintain accurate records of calibration due dates.
  • Coordinate with Rainin and other service providers to schedule onsite calibration services.
  • Close out maintenance and service work orders within Maximo.
  • Escort vendors and contractors onsite as scheduled by CBRE and ensure adherence to facility protocols.
  • Prepare media buffers and solutions required for laboratory experiments.
  • Support glass wash operations as needed.
  • Assist laboratory staff with operational needs to ensure smooth day-to-day activities.
  • Provide logistical and operational support for laboratory moves, expansions, or facility transitions, including assistance with the move to Cambridge as needed.
  • Support special projects and continuous improvement initiatives within laboratory operations.
