About The Position

The Key Account Coordinator plays a crucial role in supporting client relationships, coordinating projects, and ensuring seamless service delivery. This position involves managing incoming client requests, facilitating project initiation, maintaining project updates, and collaborating with internal teams. The role also serves as a primary communication resource for key commercial clients, addressing their inquiries and concerns professionally. Additionally, the Key Account Coordinator is responsible for maintaining CRM data integrity, providing administrative and operational support to the Key Accounts Team, and assisting with account growth and market development initiatives. This role requires strong organizational skills, excellent communication abilities, and a customer-service mindset to foster meaningful partnerships and deliver exceptional customer experiences.

Requirements

  • High School Diploma or GED required.
  • Minimum 2-3 years of relevant professional work experience in customer service, account coordination, project coordination, administrative support, sales support, business development support, or a related field.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent verbal and written communication skills.
  • Experience utilizing Customer Relationship Management (CRM) systems.
  • Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, PowerPoint, and Microsoft Teams.
  • Strong attention to detail and commitment to data accuracy.
  • Ability to coordinate multiple projects, stakeholders, and competing priorities.
  • Professionalism in all business interactions.
  • Customer-service mindset with strong relationship-building skills.
  • Systems and process-driven approach with strong follow-through.
  • Ability to analyze information, maintain documentation, and prepare reports that support client service and account growth initiatives.

Nice To Haves

  • Associate's Degree in Marketing, Business Administration, Communications, or a related field preferred.
  • Experience in restoration, construction, facilities management, property management, commercial services, or related industries preferred.

Responsibilities

  • Coordinate incoming client requests, support project initiation activities, maintain project status updates, and work closely with internal teams to ensure timely service delivery.
  • Assist with scheduling inspections, site visits, meetings, and other project-related activities while helping facilitate urgent response requirements when needed.
  • Serve as a communication resource for key commercial clients, ensuring inquiries, requests, and concerns are addressed promptly and professionally.
  • Conduct client follow-up communications to gather feedback, ensure satisfaction, and help resolve issues while escalating concerns to leadership when necessary.
  • Coordinate and support project communications by working closely with operations, project management, and field teams to ensure updates are accurate, timely, and professional.
  • Communicate project status, milestones, and next steps to internal and external stakeholders.
  • Maintain accurate client records, project notes, activity tracking, and account documentation within CRM and business management systems.
  • Document client interactions, track action items, and ensure account information remains current and organized.
  • Provide administrative support to the Key Accounts Team through meeting coordination, expense tracking assistance, communication management, and documentation support.
  • Assist internal departments with obtaining required project and account documentation to ensure smooth project execution and billing processes.
  • Assist with researching prospective commercial clients and identifying opportunities for new business relationships.
  • Support onboarding activities for new accounts, including compliance documentation, insurance requirements, and account setup processes.
  • Collaborate with operations teams, project managers, branch personnel, vendors, and company leadership to support client needs, enhance service delivery, and ensure alignment across all stakeholders.
  • Provide account coverage and customer support during team member absences, meetings, travel, and industry events.
  • Respond to urgent client needs and assist with coordinating leadership meetings, strategic initiatives, and key account activities.
