About The Position

Reporting to the Senior Director of Information Technology, the Junior IT Systems Analyst (Information Management) supports day-to-day operation and improvement of business systems with a focus on information management practices, information policy, and data clean-up activities. This role helps maintain data quality and integrity across key platforms by assisting with data classification, retention and disposal practices, access controls, and documentation. You will work with business teams to gather requirements, troubleshoot issues, support system changes, and contribute to consistent, compliant handling of information across the organization. This is a 3-4 month, full-time hourly position, with a possibility of extension.

Requirements

  • A post-secondary degree or diploma in Information Technology, Information Management, Business Technology, Library/Records Management, or a related discipline.
  • 0–2 years of experience in an IT support, systems analyst, records/information management, or data quality role (co-op/internship experience considered).
  • Foundational knowledge of information management concepts (e.g., records lifecycle, retention, disposition, classification, metadata, and discoverability).
  • Experience performing data clean-up activities (deduplication, standardizing values, resolving missing/invalid fields) using tools such as Excel and/or system import/export functions.
  • Ability documenting processes and creating clear user guides, data definitions, and simple data standards.
  • Basic understanding of data privacy, access controls, and secure handling of sensitive information.
  • Familiarity with ticketing systems and incident/service management practices (e.g., triage, prioritization, escalation, and communication).
  • Working knowledge of common enterprise platforms (e.g., Microsoft 365, SharePoint/Teams) and an interest in learning new systems quickly.
  • Demonstrated ability to communicate effectively, collaborate with others, and ask for support when needed.
  • Must be able to work under pressure in order to meet deadlines, manage multiple high-priority projects in a fast-paced and changing environment, and perform as a leader/mentor.

Responsibilities

  • Provide Tier 1–2 support for assigned business applications and information repositories by troubleshooting issues, documenting findings, and escalating appropriately.
  • Support information management practices, including file/record classification, naming conventions, metadata usage, retention, and disposition activities.
  • Assist with information policy implementation by translating requirements into practical procedures, checklists, and system configurations (where applicable).
  • Perform data clean-up and remediation tasks (e.g., standardizing values, correcting invalid entries, deduplicating records, and filling required fields) in coordination with business owners.
  • Support periodic data quality checks and reconcile issues by comparing source and target systems, logs, and reports.
  • Maintain data dictionaries, basic ERD/process diagrams, and system documentation (how-to guides, runbooks, and change notes) to support consistent practices.
  • Assist with user access requests and reviews by following established processes for role-based access and least-privilege principles.
  • Support small system changes and enhancements (e.g., configuration updates, form/field changes, workflow tweaks) and participate in testing/UAT.
  • Assist with data imports/exports and routine reporting, ensuring outputs align with defined data standards and privacy requirements.
  • Collaborate with IT, Privacy/Compliance, and business teams to identify opportunities to improve information organization, searchability, and lifecycle management.
  • Stay current through training and self-directed learning on information management, data quality, and supported technologies.
