About The Position

This full-time position involves supporting the sales team in promoting and selling association management services. The role requires preparing sales proposals, contracts, presentations, and marketing materials. Key responsibilities include coordinating and tracking leads, scheduling meetings, maintaining client records, and collaborating with internal teams to ensure smooth onboarding of new communities. Effective communication, both written and verbal, is essential for interacting with clients and colleagues. The role demands strong organizational skills, the ability to multitask, work autonomously, and make sound decisions under pressure. Additionally, the position involves routine bookkeeping functions, organizing appointments, planning meetings, and assisting with report preparation.

Requirements

  • Proficient with Google Suite applications including Gmail, Docs and Sheets, Adobe Acrobat, and MS Office
  • Strong interpersonal, written and verbal communication skills required
  • Ability to multitask and work autonomously within established procedures and practices with limited supervision, set priorities, meet deadlines, work under pressure and adjust to change
  • Strong decision-making, organizational and problem-solving skills
  • Working knowledge of office equipment
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Knowledge of (or ability to learn) various sales techniques such as SPIN selling, Challenger, and Solution Selling
  • Follows applicable laws and regulations for handling sensitive and confidential files and information

Responsibilities

  • Support the sales team in promoting and selling association management services to prospective associations and board members
  • Prepare sales proposals, contracts, presentations, and marketing materials for community association prospects
  • Coordinate and track leads, follow-ups, and sales activity within the company
  • Schedule and coordinate sales meetings and board presentations
  • Maintain accurate records of client communications, proposals, contracts, and onboarding documentation
  • Collaborate with operations and management teams to ensure a smooth transition for newly onboarded communities
  • Communicate effectively in person or by using telecommunications with our clients and fellow co-workers and generally enjoy working with a diverse clientele
  • Perform routine bookkeeping functions
  • Organize and schedule appointments as needed
  • Plan meetings and take detailed minutes as needed
  • Write and distribute email, correspondence memos, letters, and forms
  • Assist in the preparation of regularly scheduled reports
