About The Position

Trackunit is seeking a highly organized, people-oriented Junior Office & IT Coordinator to manage their London, Ontario office. This in-person role involves daily office and facilities management, as well as front-line IT support. The coordinator will be the initial point of contact for visitors, deliveries, and IT help desk tickets, responsible for coordinating resources to resolve issues. While not expected to perform complex repairs, the role involves managing contractors, triaging IT requests, and handling basic tickets using established procedures. The office supports approximately 30 onsite staff across two floors.

Requirements

  • 1–3 years of experience in an office coordination, facilities, or IT support role.
  • Comfortable working with IT or Customer Service systems at a basic level — you can follow a runbook and aren’t intimidated by a ticketing system.
  • Strong organizational skills with the ability to manage multiple priorities across facilities and IT tasks.
  • Excellent communication skills — you’ll interact with technical engineers and non-technical staff alike.
  • Proactive and self-directed; you notice what needs doing before being asked.
  • Comfortable with standard business tools (email, Slack, office productivity software).

Nice To Haves

  • Experience with Okta or other identity and access management platforms.
  • Familiarity with ticketing systems (e.g., Jira Service Management, Freshservice, Intercomm or similar).
  • Experience with inventory tracking tools.
  • Exposure to a SaaS or technology company environment.
  • Any relevant certifications (e.g., ITIL Foundation, CompTIA A+, or Facilities Management).

Responsibilities

  • Serve as the primary point of contact for the office — greeting visitors, accepting deliveries, and managing incoming and outgoing mail.
  • Coordinate contractor and vendor visits for building maintenance issues (plumbing, HVAC, electrical, elevator inspections, cleaning services, etc.).
  • Schedule and track preventive maintenance for building systems and office equipment.
  • Manage office supplies, kitchen stock, and common-area upkeep.
  • Liaise with the building’s property management company on lease-related maintenance and shared services issues.
  • Support onsite health and safety requirements, including first aid supplies, fire extinguisher inspections, and emergency procedures.
  • Coordinate meeting room setup, furniture moves, and minor office reconfiguration as needed.
  • Triage incoming IT support tickets, categorizing and routing them to the appropriate IT administrator.
  • Resolve basic IT tickets independently using documented runbooks (e.g., password resets, MFA enrolment, peripheral replacements, basic Okta access requests).
  • Manage IT asset lifecycle logistics — receiving, tagging, deploying, collecting, and shipping hardware (laptops, monitors, peripherals).
  • Coordinate the return of equipment from departing employees.
  • Escalate complex or non-runbook issues to IT administrators with clear notes and context.
  • Identify opportunities to improve office operations and IT support workflows.
  • Support ad-hoc projects as directed by the IT Director or IT Team Lead.
