Requirements

  • One year of experience performing a variety of clerical and support services to include typing, secretarial and administrative clerical work.
  • Ability to use a keyboard, no minimum speed.

Nice To Haves

  • Knowledge of Word, Access and Excel would be helpful.

Responsibilities

  • Coordinate arrangements for speaking engagements, seminars, travel arrangements or other group activities on the Division Manager's master calendar.
  • Assist in the orientation of new staff, including coordinating appropriate training as advised by the Division and Assistant Division Manager.
  • Reviewing content of correspondence, memos or reports for completeness, clarity or accuracy including drafting meeting minutes, reviewing legal documents, and updating records and/or case related information as needed.
  • Obtain pertinent materials from files of the Division and other sources and arrange into usable form for executive officer.
  • Maintain record keeping and/or tracking systems updated.
  • Recommend purchase of equipment, materials or supplies for the Division as needed.
  • Reconcile all purchase requisitions.
  • Maintain records for the Family Division staff such as performance advisories and career progressions for submission to Human Resources.
  • Answer application of internal regulations or procedures.
  • Submit work orders as needed.
  • Maintain daily attendance and training compliance for the Family Division, including judges' chambers.
  • Create special projects as assigned.
  • Communicate policies and rules to staff as the Division Manager's direct support person.
