About The Position

This is a continuous recruitment advertisement for a Judicial Assistant position. The essential function of the role is to provide administrative, secretarial, and clerical support to an assigned county court judge. The position handles highly confidential and responsible tasks under the general supervision of a County or Circuit Judge.

Requirements

  • High school diploma or GED
  • 1 year of college or vocational school education in paralegal, secretarial skills, computer operation, or a closely related field
  • 3 years of experience as a legal secretary or paralegal
  • Exceptional written and verbal communication skills
  • Ability to e-file court documents and implement a paperless process
  • Ability to organize documents electronically
  • Proficient in a technologically driven environment with intermediate to advanced computer skills
  • Working knowledge of trial court rules and procedures (including civil traffic, criminal traffic, domestic violence, misdemeanor, and small claims)
  • Ability to type proper memoranda, briefs, drafts, and opinions in the standard format
  • Knowledge of court procedures and understanding of basic legal terminology
  • Ability to be highly organized
  • Ability to demonstrate close attention to detail
  • Ability to work in stressful situations
  • Ability to interact with a diverse set of people in an open and friendly manner
  • Ability to maintain strict confidentiality

Responsibilities

  • Prepares and maintains the judge’s court and professional calendar.
  • Schedules and coordinates motions, hearings, and conferences.
  • Processes electronically filed documents.
  • Provides organizational support for the judge’s caseload, including preparing orders, docketing jury instructions, and maintaining a list of pending cases.
  • Orders jurors and coordinates in-house services, such as interpreters.
  • Reviews case files for accuracy, format compliance, and completeness before submitting them to the judge.
  • Screens calls and visitors to the judge's office.
  • Composes and/or edits correspondence, memoranda, directives, notices, orders, and other documents, maintaining strict confidentiality.
  • Prepares yearly financial disclosure forms.
  • Makes travel arrangements and processes travel vouchers.
  • Assists with the coverage of judicial assistant vacancies as required.
  • Establishes a working relationship with judges, court personnel, attorneys, law enforcement, social services, witnesses, and the general public.
