About The Position

The Item Master Administrator reports to the IT department and serves as the central steward of part and item master data within the organization’s ERP environment. This role is responsible for coordinating the creation, auditing, maintenance, and governance of accurate, complete, and consistent item master records. Working closely with Engineering, Finance, Procurement, Sales, Operations, and the Product Configuration Administrator, this position ensures timely and accurate population of item attributes, synchronization between Microsoft Dynamics 365 ERP and Bluestar PLM, effective revision control, and successful phase-in of new items and phase-out of obsolete parts. The Item Master Administrator plays a critical role in maintaining data integrity, supporting cross-functional business processes, and improving operational efficiency across the organization.

Requirements

  • Bachelor’s degree in Information Technology, Supply Chain Management, Business Administration, Engineering, or a related field.
  • 3–7 years of experience in item master management, ERP master data administration, PLM data coordination, or a similar master data governance role, preferably within a manufacturing environment.
  • Hands-on experience with Microsoft Dynamics 365 ERP and Bluestar PLM, or similar ERP and PLM systems, including item master setup, data synchronization, and integration.
  • Strong understanding of item master best practices, part numbering conventions, revision control, BOM relationships, and cross-functional data dependencies.
  • Experience reviewing and interpreting engineering drawings and specifications.
  • Strong analytical, auditing, and problem-solving skills with exceptional attention to detail and the ability to identify and resolve data discrepancies.
  • Demonstrated ability to work collaboratively with Engineering, Finance, Procurement, Sales, Operations, IT, and other cross-functional teams.
  • Proficiency with Microsoft Office applications, particularly Excel for data analysis, validation, cleansing, and reporting.
  • Ability to work independently with broad goals and significant latitude for decision-making.
  • Strong critical thinking, analytical, and problem-solving skills with the ability to make complex decisions and recommendations.
  • Strong understanding of data governance principles, data quality standards, and master data management practices.

Nice To Haves

  • Familiarity with CAD and 3D visualization concepts as they relate to product configuration is preferred.

Responsibilities

  • Coordinate with Engineering to initiate the creation of new parts and collaborate with Finance, Procurement, Sales, Operations, and other cross-functional teams to ensure item master attributes are accurately and timely populated in Microsoft Dynamics 365 ERP.
  • Maintain accurate and consistent synchronization of item master data between Microsoft Dynamics 365 ERP and Bluestar PLM, including item attributes, revisions, and configuration-related information.
  • Perform regular audits of item master records to identify and correct inaccurate, incomplete, duplicate, or inconsistent data while enforcing established data standards and governance policies.
  • Support the phase-in of new parts and products by coordinating cross-functional item setup and ensuring required data is available to support procurement, sales, production, and other downstream processes.
  • Coordinate the phase-out of obsolete parts and items, ensuring appropriate updates are made across related systems, documentation, and business processes.
  • Partner closely with the Product Configuration Administrator to ensure timely creation and setup of parts required for new and updated product configurations.
  • Maintain strong revision control processes by managing engineering changes, version history, and item revisions to ensure teams are working with current and approved information.
  • Review and interpret engineering drawings and specifications to support accurate item creation and maintenance.
  • Develop and maintain item master templates, workflows, standards, and procedures to improve data consistency, streamline processes, and reduce manual effort.
  • Monitor item master data quality and identify opportunities to improve data governance, accuracy, and efficiency.
  • Provide training, support, and guidance to stakeholders regarding item master processes, data standards, best practices, and system functionality.
  • Collaborate with cross-functional teams to identify and resolve item master data issues and dependencies that may impact business operations.
  • Support continuous improvement initiatives related to master data management, ERP/PLM integration, and business process optimization.
  • Participate in and lead projects related to item master data, system improvements, process enhancements, and cross-functional initiatives.
  • Other responsibilities as needed and assigned.
