About The Position

As an IT Project Associate, you’ll provide disciplined operational ownership of IT intake and roadmap processes, making sure requests are complete, commitments are tracked, and stakeholders know where things stand. This role helps protect IT’s execution reliability as demand for cross-functional technology partnership grows. You’ll gain direct exposure to technology initiatives across VEG while bringing order, momentum, and clear communication to work that supports our hospitals, VQ teams, VEGgies, pets, and pet parents.

Requirements

  • Strong operational discipline and follow-through. You close loops, keep systems current, and push work forward consistently.
  • Ability to notice missing information, risks, and delays early, then escalate clearly with recommended next steps.
  • Comfort working in ambiguity and following evolving processes, documentation, and templates.
  • Professional communication and judgment across stakeholder levels, with the ability to turn scattered context into clear, audience-appropriate updates.
  • Reliability and ownership mindset. People trust you to track commitments and follow through without work getting lost.
  • Familiarity with project tracking or intake systems, preferably Monday.com or ServiceNow

Responsibilities

  • Own day-to-day coordination of IT project and software intake from submission through review, keeping requests organized, complete, and moving.
  • Prepare requests for Security and Infrastructure review by confirming required information, tracking status, and maintaining accurate systems of record.
  • Maintain roadmap boards, milestones, dependencies, action items, and commitments so progress and risks are visible week over week.
  • Surface delays and off-track work early using the team’s risk and decision-making approach, bringing clear options and recommended next steps.
  • Send structured updates, follow-ups, and meeting coordination to keep project owners, PMs, requestors, frontline VEGgies, and cross-functional partners aligned.
  • Support IT Programs with deliverable tracking, basic reporting, status summaries, and slide preparation for internal initiatives
