About The Position

Under the supervision of the Global IT Asset Manager, the IT Operations Coordinator plays a key role in the day-to-day management of IT assets and software licenses across multiple business units at the local, national, and international levels. This person contributes to the full asset lifecycle, from procurement and budget tracking to purchase coordination, cost validation, and renewal follow-up. They work closely with members of the IT team, managers, CFOs, internal users, and external vendors in a structured, dynamic, and constantly evolving environment.

Requirements

  • 2 to 3 years of experience in an administrative, procurement, coordination, or similar role.
  • College diploma or bachelor’s degree in administration, logistics, information technology, or a related field.
  • Good knowledge of the Google suite (Google Sheets, Docs, Drive).
  • Strong proficiency in Excel, particularly lookup functions, pivot tables, and calculation formulas.
  • Initial experience with an ERP system such as Workday, or an IT ticketing tool such as Freshservice or Eden.
  • Excellent organizational skills, strong attention to detail in data handling, and comfort working with numbers.
  • Proactive mindset, strong sense of initiative, and confidence in asking questions to fully understand processes and identify anomalies.
  • Fluency in spoken and written French is required.
  • Fluency in English, both spoken and written, to work with national and international clients and colleagues (50% of the time) is also required.

Responsibilities

  • Ensure thorough tracking and updating of the company’s hardware and software inventories.
  • Review the monthly allocation of license costs to ensure it accurately reflects actual usage by each business unit.
  • Process equipment and software purchase requests through the IT ticketing system.
  • Create purchase orders in Workday, validate budget compliance, and follow up on invoices with the Accounts Payable team.
  • File and keep technology contracts up to date, while alerting the team to upcoming deadlines and renewals.
  • Participate in the monthly reconciliation of actual expenses against the planned budget.
  • Collaborate with various stakeholders to clarify information, resolve discrepancies, and ensure data quality.
  • Contribute to the continuous improvement of processes related to asset management, procurement, and financial tracking.
