About The Position

The IT Financial & Operations Administrator is responsible for managing and optimizing IT‑related expenses, budgets, and vendor fees while supporting operational efficiency across the organization. This role serves as a key partner to IT leadership by providing financial oversight, cost‑reduction analysis, and administrative support for IT operations. In addition to financial responsibilities, this position contributes to special projects and cross‑functional initiatives that improve processes, reduce waste, and support the overall effectiveness of the organization.

Requirements

  • Strong experience with budgeting, expense tracking, and financial reporting.
  • High attention to detail with the ability to manage multiple priorities and deadlines.
  • Proficiency in Microsoft Excel and Microsoft 365 tools.
  • Strong organizational, communication, and analytical skills.

  • Experience working in an IT or technology‑focused department.
  • Familiarity with IT vendors, software licensing models, and subscription management.
  • Experience supporting cost‑reduction or operational improvement initiatives.

Responsibilities

  • IT Financial Management & Expense Control Manage and track all IT‑related expenses, including software subscriptions, hardware purchases, vendor invoices, and recurring service fees.
  • Review, approve, and reconcile IT invoices and expenses to ensure accuracy and budget compliance.
  • Maintain detailed records of IT spend and assist with monthly, quarterly, and annual budget tracking.
  • Partner with IT leadership to prepare and monitor the IT budget, including forecasting and variance reporting.
  • Identify cost‑saving opportunities by analyzing usage, contracts, and vendor pricing, and recommend optimization strategies.
  • Assist with expense approvals, reimbursements, and financial audits related to IT operations.
  • Vendor & Contract Management Serve as a primary point of contact for IT vendors related to billing, renewals, and contract administration.
  • Track contract terms, renewal dates, and pricing changes to prevent unnecessary spend or lapses in service.
  • Support vendor negotiations by gathering cost data, usage metrics, and comparative pricing information.
  • Ensure IT services and fees align with organizational needs and agreed‑upon contracts.
  • Operational & Administrative Support Support IT leadership with reporting, documentation, and presentations related to budgets, expenses, and projects.
  • Maintain accurate IT financial documentation, processes, and internal controls.
  • Coordinate purchasing workflows, including purchase requests, approvals, and asset tracking.
  • Cost Reduction & Process Improvement Proactively evaluate IT processes, tools, and services to identify inefficiencies or redundant costs.
  • Lead or support initiatives to consolidate vendors, optimize licensing, and reduce unnecessary IT spend.
  • Develop and maintain dashboards or reports that provide visibility into IT costs and trends.
  • Collaborate with cross‑functional teams (Finance, Operations, Accounting) to align IT spending with organizational goals.
  • Special Projects & Organizational Support Participate in special projects that improve IT operations or support broader organizational initiatives.
  • Assist with system implementations, tool evaluations, or process redesigns from a financial or operational perspective.
  • Support ad‑hoc projects assigned by IT leadership that enhance efficiency, scalability, or service quality.
