About The Position

Hexmodal builds smart devices and a simple software platform that help facilities teams automate routine compliance testing, monitoring, and documentation. Our technology helps teams spend less time on manual rounds and more time on the maintenance work that keeps buildings operating safely. Today, Hexmodal supports more than 180 health systems across 48 states. We are looking for our first IT & Facilities Manager to keep our technology and our workspace running smoothly. You will own the day-to-day operation of our IT infrastructure and help desk, be the go-to owner for our office space and vendor relationships, and make sure every employee has the tools, systems, and environment they need to do their best work. You are equally comfortable troubleshooting a laptop issue and negotiating a vendor contract, and you bring a service mindset to everything you do. As the first person in this role, you'll build the processes, systems, and vendor relationships that our IT & Facilities function will run on for years to come. This role reports to our Head of People and is based out of our NYC office 5 days a week.

Requirements

  • 4+ years of experience in IT support/systems administration and/or facilities/office management, ideally in a in office or hybrid role, start-up experience strongly preferred
  • Hands-on technical proficiency: hardware/software troubleshooting, device management (Mac & Windows), networking basics, and common SaaS/IT admin tools (e.g., Google Workspace, Slack, Okta/SSO, MDM tools)
  • Proven experience managing office operations, vendor relationships, and facilities-related projects
  • Strong vendor management and negotiation skills; comfortable evaluating contracts and driving cost efficiency
  • Excellent prioritization and project management skills; able to juggle reactive support needs with longer-term projects
  • A service-oriented mindset with strong interpersonal skills; builds trust and rapport with employees at all levels
  • Strong problem-solving skills and the ability to stay calm and resourceful when systems break or plans change
  • Clear, effective communication style, with the ability to translate technical issues for a non-technical audience
  • Comfortable working through ambiguity, rolling up your sleeves, and building processes from scratch
  • Working knowledge of basic IT security and data privacy practices
  • Budget management experience, with an ability to track spend and identify savings
  • BA/BS degree or equivalent practical experience

  • Experience managing multiple office locations or leading an office build-out/move
  • Experience with physical security systems (badge access, cameras) and workplace safety/compliance
  • Experience supporting a fast-growing startup through headcount and office scaling

Responsibilities

  • Own and maintain our IT infrastructure including but not limited to hardware, software, networks, and SaaS tools ensuring reliability, security, and a great employee experience.
  • Run day-to-day IT helpdesk support, resolving employee issues quickly and building self-serve resources to reduce recurring tickets.
  • Manage the full lifecycle of company equipment: procurement, provisioning, onboarding/offboarding, asset tracking, and repairs.
  • Own facilities operations for our office(s), including day-to-day maintenance, safety, seating/space planning, and vendor coordination (cleaning, security, catering, repairs, etc.).
  • Source, negotiate, and manage vendor and supplier relationships across IT and facilities to ensure cost-effective, high-quality service.
  • Partner with People and Engineering teams to enforce IT security best practices, including access management, device security, and data protection policies.
  • Own budget planning and tracking for IT and facilities spend, proactively identifying opportunities to save costs without compromising quality or experience.
  • Develop and maintain business continuity and disaster recovery plans for both IT systems and physical workspace.
  • Plan and execute office moves, buildouts, or expansions as the company grows, including new office setup end to end.
  • Create a great in-office experience; employees should feel that the workspace and tools they're given help them do their best work.
  • Lay a scalable foundation of documentation, processes, and vendor relationships for future IT & Facilities hires.
