About The Position

The IT Asset Specialist II will be responsible for maintaining accurate records, supporting procurement, decommissioning processes, and ensuring compliance with company policies and regulatory requirements. This role will oversee the lifecycle of our IT Hardware and Software assets, ensuring efficient management, tracking, and optimization of hardware, software, and related resources across the organization. The IT Asset Specialist II plays a critical part in maximizing asset utilization, minimizing cost, and enhancing overall IT efficiency.

Requirements

  • High school diploma or GED
  • Two years of experience in IT asset management
  • Experience with asset management software and IT Service Management tools.
  • Strong knowledge of IT hardware, software, and related asset management practices.
  • Familiarity with software licensing and procurement processes.
  • Ability to use asset management tools and platforms for tracking and reporting.
  • Strong problem-solving abilities and attention to detail.
  • Experience in data analysis and generating reports.
  • Experience with using Microsoft Excel.
  • Excellent written and verbal communication skills to effectively interact with stakeholders and employees at all levels of the organization.

Nice To Haves

  • Certifications: Certified Hardware Asset Management Professional (CHAMP), or related certifications.
  • Experience with Mobile device management.
  • Experience in working with Banking Institutions.
  • Experience with using ServiceNow SAM and HAM Pro
  • Understanding of regulatory requirements for asset management

Responsibilities

  • Oversees the end-to-end lifecycle of IT assets, from planning, procurement, receiving, deployments, reclamation, end of life and disposal.
  • Maintains an up-to-date inventory for all IT assets, including hardware (computer, servers, network equipment, mobile device, etc.), peripherals, and software licenses.
  • Tracks the deployment, reclamation, and retirement of assets to ensure accurate record-keeping.
  • Prepares mobile devices and/or accessories for shipment to remote or in-office team members.
  • Reports, plans, and schedules annual hardware refresh activities.
  • Participates in processing new hardware and software requests.
  • Collaborates with IT procurement teams and vendors to acquire new assets ensuring best pricing, compliance with company standards, and timely delivery.
  • Evaluates vendor contracts, warranties, and support agreements to ensure appropriate service levels.
  • Orders hardware and software in procurement tools.
  • Maintains accurate records of all IT assets in an asset management system or database.
  • Utilizes and generates reports on asset status, utilization, and procurement trends to support IT Asset Management operations.
  • Performs Software Compliance Reviews with software owners to validate software license compliance position.
  • Performs periodic software reclamation activities to reclaim underutilized software.
  • Participates in periodic audits of IT assets to ensure physical inventory matches asset records.
  • Resolves discrepancies, conducts root cause analysis, and implements corrective actions.
  • Supports team with audit activities when needed.
  • Prepares IT hardware assets for asset disposal, including cleaning and preparing hardware for shipment to leasing or disposal company.
  • Oversees disposal of retired assets, ensuring compliance with relevant law and regulations.
  • Performs software asset retirement processes to ensure software licenses have been removed from the environment.
  • Interacts with multiple internal customers and external vendors to provide quality customer service.
  • Collaborates with IT cross-functional teams (Desktop Support, Data Center, Cloud, Architecture, Software owners and procurement teams) to ensure accurate asset tracking and timely reporting.
  • Ensures IT asset management practices that are in compliance with internal policies, industry standards, and legal regulations (e.g., software licensing, data privacy).
  • Works with the Information Security team to ensure proper security protocols for asset tracking and disposal, including secure data sanitization.
  • Creates remediation tickets for noncompliant hardware and software.
  • Supports the company's commitment to risk management and protecting the integrity and confidentiality of systems and data.
