Requirements

  • Bachelor’s Degree or equivalent work experience
  • Experience managing assets and CIs and their underlying processes
  • Experience managing inventory with a similar size and scope

Nice To Haves

  • Strong knowledge of IT software and hardware as well as five or more years’ experience working as an IT asset analyst
  • Experience managing staff
  • Strong knowledge and five years plus experience working with a CMDB and the specific business services that it supports
  • Proven ability and experience in executing strategic asset management processes successfully
  • Profound knowledge of licensing agreements involving software, including Microsoft M365, SQL, Adobe, and Atlassian.
  • Strong vendor management and negotiation skills
  • Demonstrated vendor negotiation experience with measurable cost savings on enterprise software or cloud agreements
  • Strong knowledge of IT Service Management processes
  • Strong ability to carry out assigned tasks independently with little supervision

  • Possess IAITAM Certification, such as CHAMP, CSAM, and CITAM.
  • Experience with Telecom Expense Management (TEM) platforms and mobile/wireline invoice auditing practices.
  • Working knowledge of telecom billing structures, carrier contracts, and regulatory/tax charges.

Responsibilities

  • Establish and maintain IT Enterprise Asset and Software License process and polices.
  • Implement and maintain processes for the management of assets/configuration items that adhere to IT Enterprise Asset and Configuration Management processes/policies/guidelines
  • Create and execute governance and strategic asset management function
  • Design processes relating to software and hardware asset management, execute and enhance them
  • Establish and maintain documentation of procedures, processes, and reports concerning asset and licensing management
  • Perform daily and long-term operational and strategic management of hardware and software licenses
  • Plan, monitor, and record hardware assets and/or software licenses to ensure traceability across different software tools
  • Identify, implement, and maintain the IT Asset Management tool (ITAM)
  • Ensure all IT assets including cloud assets are identified and current in the ITAM tool
  • Apply a continuous improvement approach in enhancing the strategies employed in technology spending, as well as in tracking company assets within the Configuration Management Database (CMDB) throughout their lifecycle
  • Ensure effective management of the CMDB and that the content contained is accurate
  • Define and enhance scheme for identifying IT hardware and IT software-related assets as well as CIs, including versioning and dependencies in the asset management tools, attributes, and the CMDB
  • Manage inventory of CIs and assets, including dependencies and attributes, making sure that modifications, withdrawals, and additions of existing ones are correctly recorded by the teams
  • Responsible for managing lifecycle of hardware and software models in the Digital Media Library (DML) right from their introduction to their retirement
  • Generate and distribute various reports, including compliance reports on current assets and CIs and their status; also perform trend analyses
  • Perform verification and audit of DML and CMDB content
  • Verify software assets against license contracts
  • Confirm hardware assets against actual inventory
  • Initiate corrective actions and track them to resolution
  • Ensure CIs relationships are accurate in the ITSM tool and Configuration Management Database (CMDB).
  • Provide license management for applications and software.
  • Audit assets, license usage and consumption to include On-Premises Application, PaaS, IaaS and SaaS tools and service components
  • Own the full contract lifecycle for major software and cloud publishers (Microsoft, Adobe, Atlassian, Oracle, and similar) — from renewal forecasting and RFP support through negotiation, execution, and post-signature obligation tracking — and serve as the primary point of contact for publisher account teams and licensing resellers.
  • Negotiate pricing, terms, and true-up/true-down provisions with software vendors and resellers to optimize spend and minimize renewal risk; partner with the Budget Manager on multi-year cost forecasting.
  • Maintain a master contract repository capturing key dates, entitlements, renewal terms, and auto-renewal/termination notice windows, with proactive alerts to stakeholders ahead of expirations.
  • Lead vendor license compliance audits end-to-end — coordinating data collection, entitlement reconciliation, and response strategy — to defend the organization’s position and minimize true-up exposure.
  • Review vendor proposals and contract redlines for licensing risk, including audit clauses, usage restrictions, and price-protection terms, in partnership with Legal and Procurement.
  • Track vendor performance and SLA adherence on major software and cloud agreements and maintain a vendor scorecard for IT leadership review.
  • Provide scheduled Reporting of IT Hardware and Software License Assets
  • Provide KPI/Metric information and standardized reporting on a scheduled basis together with unscheduled reporting demanded by management
  • Collect CI data and provide configuration status and CI status reports
  • Provide Hardware End of Life (EOL) data to IT management for Hardware refresh projections.
  • Take part in various projects, providing support to Director of Infrastructure
  • Collaborate with all Enterprise IT offices to determine trends in asset performance
  • Perform research on industry best practice and incorporate it with organizational practices
  • Own end-to-end telecom expense management (TEM) across mobile, wireline, and other carrier services, including invoice auditing, billing reconciliation, and validation of charges against contracted rates.
  • Manage telecom carrier contracts and agreements (mobile carriers, wireline, SIP/PRI trunks, satellite, and similar), including renewal negotiation and rate optimization.
  • Maintain a current inventory of telecom assets and services (mobile lines, devices, circuits, extensions) and reconcile it against active billing to eliminate unused or “zombie” lines.
  • Audit monthly telecom invoices for billing errors, unauthorized charges, and contract compliance; dispute and recover erroneous charges with carriers.
  • Allocate and charge back telecom costs to business units and cost centers, and provide monthly/quarterly telecom spend reporting to the Budget Manager and IT leadership.
  • Coordinate with internal Finance offices on all telecom invoices with late or past-due payments, ensuring timely remittance to carriers and resolving root causes to minimize late fees and service disruption.
  • Administer the mobile device lifecycle and plan assignments — adds, changes, and disconnects — in partnership with the Service Desk and end users.
  • Identify and implement telecom cost optimization opportunities, such as plan right-sizing, line pooling, and carrier/service consolidation.
  • Evaluate and maintain telecom expense management (TEM) tools/platforms, keeping data aligned with the ITAM tool and CMDB.
  • Track telecom regulatory and tax charges (e.g., E911 fees, USF, franchise fees) to ensure accurate application on invoices.
  • Serve as the primary liaison to telecom carriers and vendors for billing, service, and contract escalations.
