Inventory Coordinator

FAO SchwarzNew York, NY

About The Position

The Inventory Coordinator is responsible for ensuring the accuracy of inventory data and systems. This role plays a crucial part in maintaining well-stocked shelves, supporting commercial decisions, and ensuring a smooth operational flow. When performed effectively, this role ensures the sales floor is adequately stocked, inventory data is reliable, and operations run efficiently.

Requirements

  • Intermediate to advanced Excel skills, including pivot tables and VLOOKUPs, with the ability to work confidently with large datasets and translate data into clear outputs.
  • Experience working across multiple inventory, ERP, or order management systems, comfortable navigating complex, connected platforms and quickly learning new tools.
  • High degree of accuracy and a methodical approach to problem-solving: precise when it matters and consistent even at high volume.
  • Confident communicator who can translate complex inventory data into clear, actionable insights for non-technical stakeholders and proactively flag risks before they land on someone else’s desk.
  • A solutions-first mindset: someone who troubleshoots independently, knows when to escalate, and doesn’t let issues go unresolved.
  • An understanding of how inventory accuracy drives commercial outcomes — a data error or a stockout isn’t just an operational issue; it’s a sales and margin risk.
  • 2-4 years of experience in inventory management, retail operations, logistics coordination, or a similar systems-focused role.
  • Ability to access stockroom and floor areas and to lift up to 25 pounds as needed.

Nice To Haves

  • Experience in retail, e-commerce, or omni-channel inventory environments is a strong plus.

Responsibilities

  • Own day-to-day inventory management system (CHQ) functions, maintaining accuracy across inventory adjustments, stock records, and order management.
  • Maintain inventory record accuracy across all product types, managing regular adjustments and ensuring system data always provides the business with a reliable basis for stock decisions.
  • Lead the damages process, continuously improving its performance, maintaining accurate logs and system records, and escalating patterns that indicate systemic issues before they affect sales, margin, or the guest experience.
  • Investigate negative on-hand discrepancies, identify root causes, and resolve errors before they distort stock data, compromise replenishment, or mask shrink.
  • Drive the B2B reconciliation process, partnering with vendor contacts on a regular cadence to keep shared inventory data aligned and resolve discrepancies promptly, so stock positions are always accurate and replenishment decisions are based on reliable data.
  • Partner with our third-party logistics provider to track inbound shipments and resolve discrepancies quickly, ensuring the product reaches the floor without delay and the supply chain never becomes a barrier to availability.
  • Own end-to-end vendor chargeback documentation, ensuring records are complete, accurate, and submitted within the required timeframe, protecting stock file integrity and product availability.
  • Partner with Operations, Planning, store teams, and vendor contacts to coordinate inventory needs and share data insights, ensuring the right information reaches the right people so the business can act with confidence and speed.
  • Identify opportunities to improve inventory processes and system workflows, translating operational data into clear recommendations that make operations faster, more accurate, and more commercially effective.
  • Troubleshoot systems issues across inventory and order management platforms, resolving what you can independently and escalating quickly when needed, so data integrity is never compromised and the operation never loses visibility into stock.
  • Act as the go-to resource for inventory systems and data across the business, sharing knowledge, supporting colleagues with questions, and helping others understand how to use inventory data to make better decisions.
