About The Position

The Inventory Coordinator is responsible for support functions including handling and distributing incoming and outgoing mail, preparing departmental computer reports, quotes, and letters, and maintaining files. This role also involves using Top Tech Software to assist with driver questions. The position is a full-time, hourly role with overtime for weekends, requiring non-standard work hours from 8:00 a.m. to 4:30 p.m. daily and every other weekend. The coordinator will enter customer product movement data into an inventory database, compile end-of-month figures for Accounts Receivables, and reconcile product movements with a customer inspection company for billing. They will also enter monthly throughput amounts on the company website for emissions monitoring, update the daily stock report, and compile various activity reports (monthly dock and pipeline, weekly stock and activity, annual customer activity). Additionally, the role involves recording daily inventory gauges on a tank data report, verifying daily gain or loss for each tank, preparing and sending third-party movement tickets, obtaining terminal quantities from Toptech or entering them into the system, and performing ship and barge vetting along with railcar traffic duties if the terminal scheduler is on leave. The Inventory Coordinator will also assist terminal operators with outside activities as needed, write incoming traffic reports, answer driver unloading and loading questions, and update billing information from contractor services.

Requirements

  • High school diploma or equivalent required.
  • 0-2 year administrative experience required.
  • Excellent verbal and written communication skills with strong interpersonal skills required.
  • Proficient skills in Microsoft Word, Excel, and PowerPoint required.
  • Working knowledge of Access required.
  • Strong attention to detail, with the ability to proof work for accuracy required.
  • Must be able to effectively communicate with all levels of management and customers.
  • Ability to work in a team-oriented environment is required with both office and field operators.
  • Must be able to work overtime as required.
  • Basic knowledge of petroleum products and industry terminology required.
  • Effective analytical and problem-solving skills required.
  • Experience operating numerous office machines including fax, copiers, typewriters, and computers required.
  • Ability to coordinate effectively and with other personnel, corporate departments, as well as with external customers required.
  • Ability to prioritize and handle multiple tasks and projects concurrently, managing time and scheduling to meet appropriate deadlines.
  • Ability to work in a team-oriented environment is required with both office and field operators.
  • Ability to work independently with limited supervision and independently conduct job accountabilities including reconciliation of tank inventories.

Nice To Haves

  • Experience in industry operations preferred.
  • Secretarial experience in industry operations preferred.
  • Working knowledge of SAP preferred.
  • Tank inventory in barrels, gallons, and pounds.

Responsibilities

  • Reconciling daily movements, gains and losses and entering appropriate pipeline receipt information into the terminal system.
