About The Position

This Inventory Clerk role coordinates freight and product flow to meet customer demands while maintaining accurate inventory records, system data, and tracking information. The position requires extensive use of internal and external PC systems and close collaboration with warehouse, shipping, and external vendor teams to ensure products ship on time, in the correct quantities, and in proper condition.

Requirements

  • Prior experience working as an inventory clerk or in a shipping or receiving clerk role in a warehouse or manufacturing environment.
  • Experience monitoring and tracking inventory levels to support accurate stock management and timely order fulfillment.
  • Experience coordinating and communicating shipment updates internally with warehouse and office staff and externally with customers or vendors.
  • Proficiency using email, particularly Outlook, to communicate shipment details and updates.
  • Proficiency using Microsoft Excel, including working with basic formulas, opening and managing multiple tabs, and adding or deleting columns and rows.
  • Ability to work extensively with internal and external PC-based systems to manage inventory data, shipments, and documentation.
  • Strong attention to detail to maintain accurate records, avoid shipping errors, and prevent chargebacks.
  • Effective communication skills to collaborate with dock staff, pickers, internal teams, outside service vendors, and customers.

Nice To Haves

  • Familiarity with Epicor (Epicore) or similar enterprise resource planning (ERP) or inventory management software is a plus.
  • Experience working with domestic and international shipments, including preparing related documentation, is beneficial.
  • Experience in logistics, shipping and receiving, or inventory control roles is advantageous.
  • Ability to interpret and follow special shipping instructions and packaging requirements.
  • Strong organizational skills to manage multiple shipments, documents, and inventory transactions simultaneously.

Responsibilities

  • Review upcoming shipping requirements and research the organization’s ability to deliver products as requested by customers.
  • Inform customers via their online portals of truck space and capacity needs in advance of actual shipping dates, maintaining accuracy to avoid chargebacks for excess or shortfall situations.
  • Communicate proactively with customers if issues arise that may impact shipment timing, quantities, or space requirements.
  • Determine appropriate shipping containers and pallet sizes to ensure products ship without damage and calculate floor space needed for each customer shipment.
  • Inform dock and picking staff of required containers, pallet configurations, and special shipping instructions in advance to meet customer requirements.
  • Prepare and print or write paperwork for outside vendor activities and forward it to the shipping dock; process paperwork received from outside service vendors (OSVs).
  • Develop pick lists and designate staging areas for pickers and dock staff to pull and stage orders accurately and efficiently.
  • Review current inventory locations, schedules from outside service vendors for returning product, and work-in-process at multiple facilities, then communicate plans and required activities to internal personnel and OSVs.
  • Determine whether products are domestic or international based on customer codes and assign appropriate containers or skids; communicate these requirements to dock employees.
  • Print all required shipment documentation, including packing slips, barcodes, waybills, and any necessary international paperwork, and attach or place them with boxes and containers as required.
  • Draft OE pack instructions when needed to outline special shipping requirements and ensure they are followed.
  • Communicate with internal staff to resolve blocked shipments, understanding and following internal processes and system requirements to unblock sales orders and address quality control issues.
  • Process outside service vendor paperwork to ensure parts are placed into inventory correctly and accurately reflect current stock.
  • Perform inventory transactions in the appropriate accounts to receive parts into specific inventory locations or to transfer and combine parts into other locations as needed.
  • Conduct cycle counts as needed to verify inventory accuracy and support ongoing inventory control and management efforts.
