About The Position

As an Inventory and Shipping Specialist II, you will serve as the main point of contact to assist customers with product location and delivery times. Take lead in validating inventory receipt entries in our internal WMS as well as maintaining customer systems and mentoring the ISS team. You will lead cycle counts, reconcile reporting, and conduct discrepancy investigations. Provide guidance and direction to drivers, visitors, and external partners. Manage communication across multiple stakeholders and serve as a primary point of contact for escalated customer inquiries regarding delivery, inventory, and scheduling. Requirements

  • High School Diploma or GED required
  • 5+ years of customer service or logistics experience
  • at least 2 years in inventory/shipping operations
  • Excellent communication skills, both written and verbal, with the ability to handle escalations professionally
  • Advanced proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint)
  • Strong knowledge of WMS systems, NCR/CAPA processes, and regulatory documentation (IATA, IMDG)
  • Ability to quickly master new systems of record and provide training to others
  • Ability to obtain IMDG, IATA, and other regulatory certifications as required
  • Attention to detail and accuracy in data entry
  • Strong analytical and problem-solving skills with the ability to manage shifting priorities
  • Self-directed, motivated, and capable of working independently while contributing to team success

Responsibilities

  • Perform and validate inventory receipt entries in Chem-Star WMS and customer systems.
  • Lead cycle counts, reconciliation reporting, and discrepancy investigations.
  • Ensure compliance with NCR/CAPA processes, identifying root causes and driving corrective actions.
  • Generate and review specialized shipping documentation (BOLs, Manifests, IATA, IMDG), including advanced calculations for truck weight and load capacity.
  • Oversee inbound/outbound quality checks and ensure adherence to regulatory requirements.
  • Coordinate LTL appointments and dock scheduling for complex shipments.
  • Serve as a primary point of contact for escalated customer inquiries regarding delivery, inventory, and scheduling.
  • Provide guidance and direction to drivers, visitors, and external partners.
  • Draft professional correspondence and manage communication across multiple stakeholders.
  • Mentor and train Inventory & Shipping Specialist I team members and backups.
  • Act as a subject matter expert for system processes and compliance standards.
  • Support leadership in implementing process improvements and operational efficiencies.
  • Manage facility office supplies, visitor logs, and record retention with a focus on compliance.
  • Ensure adherence to Rinchem’s safety, regulatory, and quality standards.
  • Take initiative on special projects and other duties as assigned by leadership.
