About The Position

This is a Casual Hire position for an International Program and Compliance Assistant within the Office of Global Engagement, International Student Services (ISS) at UH Manoa. The role is temporary, with appointments lasting up to 89 days for full-time employees. Employment is contingent upon a Criminal History Background Check and meeting federal regulations for Alternate Responsible Officer for the J-1 Exchange Visitor Program. Casual Hire employees are not eligible for benefits.

Requirements

  • Possession of a baccalaureate degree in Arts and Humanities, Social Science, Science, Education, Higher Education Administration, and Business Administration or related field and 0 year(s) of progressively responsible professional experience with responsibilities for office administration, and/or program planning; and or equivalent combination of education and/or professional work experience.
  • Demonstrated ability to recognize problems, identify possible causes, and problem-solve.
  • Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
  • Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members, and individuals.
  • Demonstrated ability to operate a personal computer and apply word processing, spreadsheet (MS Word, Excel, PowerPoint), and/or database software.
  • Demonstrated attention to detail and ability to prioritize, organize, and handle multiple tasks.
  • U.S. citizenship or lawful permanent residence (required by federal regulations for certification as a Designated School Official or Alternate Responsible Officer for the Exchange Visitor Program).
  • Clearance of a Criminal History Background Check to comply with Code of Federal Regulations required for employees functioning as an Alternate Responsible Officer for the J-1 Exchange Visitor Program is a condition of employment and continued employment.
  • Ability to apply discretion and maintain confidentiality.

Nice To Haves

  • Knowledge of University of Hawai‘i student support services and campus operations.
  • Functional knowledge of immigration service principles, terminology, and techniques.
  • Understanding of federal and state laws and regulations associated with F-1 and J-1 programs.
  • Previous experience serving as a DSO and/or ARO in a higher education setting.
  • Experience with Banner, ISSM, and SEVIS databases.
  • Proficiency with Google Workspace (Docs, Sheets, Slides).
  • Awareness of University of Hawai‘i policies and procedures pertaining to international students.

Responsibilities

  • Serve as a Designated School Official (DSO) and/or Alternate Responsible Officer (ARO) for F-1 and J-1 programs, facilitating federal reporting and maintaining institutional standing with DHS and DOS.
  • Assist with the full lifecycle of immigration documents and routine immigration services, including processing I-20/DS-2019 forms, travel signatures, SEVIS check-ins, and program extensions.
  • Support compliance through data entry, batch processing, and reconciling records across university systems and federal databases.
  • Stay updated on federal regulation changes and handle routine immigration inquiries via email, chat, and in-person, referring complex matters to senior staff.
  • Coordinate logistics and execution for international student programs, including pre-arrival sessions, Welcome Week, orientation, and cultural adjustment initiatives.
  • Support career programming and workshops for international student success, collaborating with campus partners on U.S. work authorization (CPT, OPT, AT), job search strategies, and professional networking.
  • Assist with the recruitment, training, and oversight of student assistants and interns.
  • Serve as a liaison to international student organizations and manage digital engagement (newsletters, social media, website updates).
  • Provide front desk coverage and general office support, including recordkeeping, scheduling, and student referrals.
  • Participate in team meetings and contribute to initiatives for office workflows and campus internationalization.
  • Assist with special projects as assigned.
  • Other duties as assigned.
