About The Position

This position advises the University community and international partners with regards to the policies and procedures surrounding international research, program and exchange partnerships for faculty, students and staff. This position supports the Manager and Director in sourcing and implementing international partnerships for the University and is responsible for administering records management for international partnerships. This position provides back-up support on immigration and student services support for International students.

  • Over 3 years relevant experience
  • Experience providing support and/or advising services to international students in a post-secondary setting
  • Experience in a professional or para-professional role developing programs
  • Experience in program evaluation and assessment
  • Experience working with students of diverse backgrounds and/or substantial international experience
  • Training and/or demonstrable experience in intercultural communications and competency development
  • Ability to provide quality, student-centered, ethical advising
  • Excellent research, analytical and writing skills
  • Strong interpersonal skills
  • Understanding of university policies and procedures

Nice To Haves

  • Current registration and good standing as a Regulated International Student Immigration Advisor (RISIA) or Regulated Canadian Immigration Consultant (RCIC) is preferred. Candidates without this designation may be supported in pursuing certification

Responsibilities

  • Provides support for outbound and inbound student mobility inquiries
  • Maintains records of faculty/staff and student mobility and scholarships
  • Liaises between the International Office, the faculty and students with regards to mobility programs
  • Develops and maintains internal procedures around mobility
  • Assists with applications for funding for outbound and inbound student mobility
  • Consults all affected areas across the university on possible policy and procedure changes that could improve mobility programs
  • Provides support for outbound students with departure sessions and information on funding availability
  • Acts as first point of contact for students while on mobility and travels with students when required
  • Develops and implements summer student exchange programs/camps at Ontario Tech for students from a variety of countries that includes housing, meals, academic and cultural events
  • Holds information sessions virtually and on campus as needed on faculty and student mobility
  • Provides back up for the Senior International Education Officer which may include: Reviews and processes all incoming visitor scholar requests including: verification corrections, missing documentation, invitation letters, liaison with researchers and faculty on submissions for clarification, corrections and missing documentation. Provides guidance to stakeholders (researchers, GPSs, EAs, VSs) on process, inquiries, issues
  • Requesting Offer of Employment Number through IRCC portal and manages budgetary
  • Liaising with internal and external partners (e.g., International Education on incoming VS scholarship recipients (ELAP, QES), UHIP, MITACS on incoming scholarship recipients
  • Maintaining all records pertaining to the portfolio including all past, current incoming visiting scholars, documentation, Access Database and Banner
  • Liaising with all visiting scholars before arrival, meet with VS upon arrival for proof of documentation (work permit, passport), set up of Banner ID, IT and email. Consulting all affected areas across the university on possible policy and procedure changes that could improve service for visiting scholars
  • Assisting with the application for funding outbound and inbound visiting scholars when necessary
  • Assisting with and sourcing of international partnerships that will benefit visiting scholars
  • Provides administrative and programmatic support to the International Student Advising team on immigration-related matters. Where appropriate and within the scope of their qualifications, may provide guidance to faculty, staff, visiting scholars and students
  • Maintains a database of international partnerships
  • Processes the sign off forms and facilitates the signing of the agreements after approval by the Manager, International
  • Maintains and updates the list of partnerships on the international website and internal sites
  • Communicates the agreement list with other departments who inquire or need current partnership information such as Student Life, Registrar's Office or the Faculties
  • Assists in work on projects that relate to the internationalization of Ontario Tech as required – specialized grant applications, surveys, communication on the international Office to the campus community – website updates, social media etc.
  • Assists in sourcing and implementing partnerships for Ontario Tech University based on rankings, programs and desirability of location that will benefit the internationalization efforts at Ontario Tech with regards to faculty, staff and student mobility
  • Seeks funding opportunities for International student exchanges
  • Assists in organizing inbound and outbound international delegations
  • Advises on appropriate members of Faculties to attend delegations
  • Facilitates the communication between Ontario Tech, the incoming delegates and internal parties who will be attending to ensure that an agenda is communicated and the visit is clearly laid out
  • Processes invitation letters when required
