About The Position

The International Documentation Coordinator is responsible for generating all international documents, maintaining a daily database of export shipments, and possessing a detailed understanding of international documentation requirements for various countries and customers. This role involves the accurate preparation and review of documents, generating reports, troubleshooting issues, and providing customer service to merchandising and sales teams to rectify documentation deficiencies. The coordinator will also communicate with U.S. government departments (USDA, FDA, Chamber of Commerce, etc.) to create and issue necessary documents, and assist export sales with resolving issues related to commodities, freight, accounting, financing, and other documentation matters.

Requirements

  • HSD (High School Diploma) or equivalent required
  • Proficiency in Microsoft Word, Excel and Outlook.
  • Ability to effectively communicate in English.
  • Determine supporting documents needed to be ordered on each sales folder
  • Prioritize work determined by urgency based on ETA of the shipments
  • Determine which company to utilize for legalization purposes (if required) and if the proper amount of cost is protected on the folder
  • Determine if the shipment requires issuing certificates of insurance and if the correct cost for insurance is protected on the folder
  • Approve costs for the bill of lading changes up to $50
  • Ability to multi-task, prioritize workflow and complete tasks with a high level of organization, responsibility, and efficiency.

  • Applicants must be currently authorized to work in the United States.

Nice To Haves

  • Associate’s Degree preferred
  • 3 years of international documentation/logistics experience preferred
  • Bilingual- Spanish
  • Fluency in Spanish preferred.

Responsibilities

  • Generate all international documents based on the country and/or customer-specific requirements.
  • Maintain a database of export shipments daily.
  • Communicate with outside U.S. government departments (USDA, FDA, Chamber of Commerce….) to create and issue any required documents.
  • Create insurance certificates for all applicable shipments.
  • Issue Sight Draft documentation to facilitate customer payment.
  • Provide assistance to export sales in resolving commodity, freight, accounting, financing, and other documentation issues.
