About The Position

The Interdisciplinary Advisor works within a team-based environment, closely collaborating with other online advisors within Graduate and Professional Studies. This role is responsible for evaluating online applicants and advising undergraduate and graduate students across multiple disciplines. The position ensures that all current students receive comprehensive enrollment services.

Requirements

  • Bachelor’s degree required.
  • 3-5 years of successful work in a University and/or advising role.
  • Highly motivated self-starter who can be a team player and desires to share creative solutions and best practices.
  • Problem-solving and critical thinking skills.
  • Ability to balance multiple tasks simultaneously.
  • Excellent organizational, interpersonal, and communication skills.
  • Solid knowledge or experience working in academia.
  • Attention to detail and mental concentration necessary for accurately performing tasks.
  • Ability to tolerate frequent interruptions.
  • Manual dexterity to efficiently operate a computer keyboard and other business machines.
  • Near vision sufficient to read written communications and computer display screens.
  • Adequate hearing to communicate effectively in person and by phone.
  • Fluency in computer skills: Datatel, Excel, Word, Outlook.

Responsibilities

  • Evaluates prospective applications for admission into online programs.
  • Completes the admission process for accepted online applicants.
  • Advises online students throughout their coursework regarding courses and requirements.
  • Tracks online students to ensure successful completion of courses and requirements.
  • Participates on committees as necessary.
  • Works closely with Graduate and Professional Studies regarding student needs and scheduling.
  • Meets with students using various modalities including Video Conference, Phone Calls, or In Person.
  • Serves as a role model for faculty, staff, and students in customer service, collaboration, communication, excellence, attendance, and general professionalism.
  • Performs any other duties and special projects as assigned or required by the Directors.
  • Checks prerequisites when students register for courses.
  • Sends student letters for dismissals, course failures, probation; communicates information to JU Registrar.
  • Advises students on course selection, load, and decisions.
  • Checks rosters, researches holds, and grants approval for registrations.
  • Evaluates grade reports for failures.
  • Keeps students aware of drop and withdrawal deadlines.
  • Evaluates all transcripts and calculates cumulative GPAs to determine admission decisions.
  • Posts all transfer courses from other schools' transcripts/international evaluations in datel.
  • Sends course descriptions to Dean, Director for approval as needed for transfer courses.
  • Performs all data entry in datel.
  • Evaluates supplemental transcripts.
  • Verifies school/program accreditation and ETS codes.
  • Reviews alternative credits for transfer.
  • Advises students asking to take classes at other institutions.
  • Assists students with the petition process if they wish to have admission decisions reevaluated.
  • Prepares progression plans, admit letters, etc., to email to applicants and posts to SLATE.
  • Prepares denial letters and emails applicants, posting to SLATE.
  • For international students, checks TOEFL exam score or verifies the student has taken 24 or more credits with a minimum of 2.0 GPA at a regionally accredited US institution.
  • Evaluates official credential evaluations from an agency that is a member of the National Association of Credential Evaluation Service.
  • Processes petitions for readmission if applicable.
  • Evaluates transcripts from newly attended schools.
  • Provides updated progression plans, degree audits, and important information regarding portfolios in capstone courses to students.
  • Reviews course descriptions from other schools to determine award of credit.
  • Reviews screens in datatel to track progress of students, receipt of transcripts (IASU), courses posted (STAC), name changes (NAE), graduation status (SGRD), catalog year (SACP), readmission (STAL), grade forgiveness (STRK), suspensions, probations and holds (PERC), JU GPA’s (STAT), degree audits (PSPR), Graduation status (SPRO) Applications (APPN).
  • Answers emails, phone calls, etc.
  • Prepares appeals for Committee.
  • Provides academic advising for prospective and current graduate online students.
  • Assists students and professors with the incomplete process, tracking to ensure grades are changed when work is completed or deadlines are missed.
  • Attends graduation ceremonies and receptions for online students.
  • Follows students from admission to graduation.
  • Maintains a database for graduation.
  • Collects graduation applications from students who have not yet submitted the form.
  • Evaluates students' files to ensure all requirements are met.
  • Tracks progress of affiliation agreements.
  • Maintains a database for affiliation agreements.
  • Serves as a liaison between students and the Clinical Coordinator.
  • Obtains necessary paperwork/forms from students for the Clinical Coordinator.
  • Participates in committees, vendor events, and other groups as deemed necessary by the Program Directors.
  • Maintains current documentation of online policies and procedures.
  • Tracks data as needed for programs (e.g., effects of gen ed policy changes, AGE degrees, etc.).
  • Trains new advisors.
  • Maintains confidentiality of student records.
  • Updates shared drive.
