About The Position

HELP USA is seeking an Intake Supervisor to manage shelter site operations during designated shifts, particularly evenings, nights, and weekends, and when director-level staff are unavailable. This role involves overseeing the intake process for new clients, ensuring data accuracy, coordinating daily operations, supervising staff, and maintaining compliance with various regulatory bodies. The Intake Supervisor will also handle community relations, liaise with authorities, and ensure the security and safety of the facility, including collaborating with DHS PD. In situations of understaffing, the supervisor will assume direct service responsibilities.

Requirements

  • Obtain FDNY F-80 certification within 3 months.
  • High School Diploma or GED is a prerequisite.
  • Proficiency in Microsoft applications is mandatory.
  • Demonstrated extensive experience in residential facility settings.
  • Capability to obtain and uphold First Aid/CPR certification.

Nice To Haves

  • An associate or bachelor's degree is preferred.
  • Bilingual (English/Spanish) a plus.

Responsibilities

  • Assume complete accountability for managing one of our shelter sites during designated work shifts, as well as when director-level Social Service or Safety staff are unavailable.
  • Serve as the initial point of contact for new clients, guiding them through the intake process.
  • Enter client data into DHS' CARES database.
  • Participate in bed counts alongside Safety personnel, ensuring the accuracy of client information in CARES, and reporting census counts to IVC (Intake Vacancy Control).
  • Supervise and/or aid in the coordination of daily intakes, bed assignments, and associated client service tasks.
  • Supervise subordinate staff.
  • Collaborate closely with external entities to facilitate language access.
  • Ensure the provision of optimal customer service to clients.
  • Handle community relations and liaise with relevant authorities as necessary.
  • Ensure compliance with regulations as stipulated by NYS DHS, NYS OTDA, NYC FDNY, NYC Dept. of Health, NYC Coalition for the Homeless, etc., including incident reporting, logbook entries, bed checks, client belongings, security, and client care.
  • In the event of insufficient staffing, assume direct service/program responsibilities in addition to the above.
  • Collaborate with DHS PD to guarantee the daily security and safety of the facility.
