About The Position

The Housing and Essential Needs (HEN) program at Catholic Community Services (CCS) provides rent and utility assistance, bus passes, and essential needs products to disabled adults who are experiencing housing instability. Over 4,000 people are currently being served by HEN King County through a staff of 50. The program has Homeless Prevention and Homeless teams, a team of Resource Specialists that respond to the HEN Resource Line, an ORCA Lift program that provides free annual bus passes, and an Essential Needs team that creates hundreds of health & hygiene bags each month. The program operates out of the Randolph Carter Center (RCC) and Phoenix Center (Phoenix) in central Seattle, as well as a CCS family center in Kent. HEN is a statewide program with an annual budget of $25 million. Eligibility is determined through DSHS and CCS is contracted through King County to deliver the services. We are seeking a Temporary Intake Specialist to support a time‑limited, high‑priority effort to review and clear the Transporting & Essential Needs/TEN-No intake (TNI) client list for the Housing & Essential Needs (HEN) Program. Since fall 2025, HEN staff have completed sustained onboarding efforts resulting in review and outreach to more than half of all active TNI clients. The Temporary Intake Specialist will play a critical role in completing review of the remaining ~2000 clients, ensuring accurate documentation, determining eligibility and exiting clients appropriately per established SOPs.

Requirements

  • High school diploma or GED required
  • Confidence using computers including data entry, email and basic document management
  • Ability to accurately enter, review and update client information in databases and spreadsheets.
  • Strong attention to detail with the ability to review large volumes of client records accurately.
  • Ability to interpret program eligibility criteria and follow written SOPs precisely.
  • Ability to work independently while coordinating closely with program leadership.

Nice To Haves

  • Experience in intake, eligibility determination, or administrative support in a human services or social services setting.
  • Familiarity with case management systems (e.g., Clarity, HMIS, or similar).
  • Experience working with confidential client information and compliance‑driven processes.

Responsibilities

  • Review TNI clients who have already been contacted and ensure all documented contact attempts are accurately recorded in Clarity HMIS, cross‑referencing the TNI client spreadsheet and existing staff notes.
  • Ensure documentation meets program, agenc, and compliance standards.
  • Re‑check BVS eligibility for clients previously found ineligible.
  • Exit clients who remain ineligible in accordance with relevant SOPs including issuing required notices.
  • Review the remaining TNI client list (approximately 1,800 clients) to 1) Determine current eligibility, 2) Confirm Essential Needs (EN) pickup for eligible clients and/or 3) Exit ineligible clients per SOPs.
  • Identify eligible clients receiving rental subsidy for other sources and create a list of them for service coordination and proper exit processing.
  • Follow all CCSWW, HEN‑KC program policies, SOPs, confidentiality requirements and data‑privacy standards.
  • Utilize written procedures for TNI review to ensure consistency and accuracy across all work.
