About The Position

The Intake Coordinator serves as the primary point of contact for intake and referral inquiries within Beacon Behavioral Health. This role is crucial for ensuring timely and accurate documentation and follow-up, building strong relationships with referral sources, patients, families, and internal clinical teams. The Intake Coordinator assists in level-of-care determinations by reviewing clinical information, schedules assessments, communicates services clearly, and coordinates with various departments for admission approval. They also facilitate referrals to alternative care levels when necessary, guide patients through the admission process, obtain insurance pre-certifications, and track referral data. Additionally, the role involves collecting feedback for quality improvement and participating in performance improvement activities. Employees may be asked to perform other related duties as needed.

Requirements

  • Master’s degree in Social Work or a healthcare-related field with 2+ years of psychiatric experience, OR Bachelor’s degree in Social Work or a healthcare-related field (Psychology, Nursing, Counseling) with 5+ years of psychiatric experience, OR 10+ years of direct psychiatric or behavioral health experience.
  • Strong knowledge of behavioral health levels of care, insurance authorization processes, and patient intake workflows.
  • Excellent communication, documentation, and customer-service skills.

Responsibilities

  • Serve as the primary point of contact for intake and referral inquiries, ensuring timely, accurate documentation and follow-up.
  • Build and maintain strong relationships with referral sources, patients, families, and internal clinical teams.
  • Review clinical information gathered during initial inquiries to assist in level-of-care determinations.
  • Schedule face-to-face level-of-care assessments within 24 hours of initial contact.
  • Communicate Beacon’s services clearly, including program offerings, admission criteria, regulatory requirements, and insurance considerations.
  • Coordinate with Nursing Leadership, Administration, and Physicians to review clinical and financial information prior to admission approval.
  • Facilitate referrals to community-based or alternative levels of care when admission is not clinically appropriate.
  • Guide patients and caregivers through the admission process, including obtaining required consents and documentation.
  • Obtain insurance pre-certifications and collaborate with billing teams regarding payer requirements.
  • Track and maintain referral data, providing weekly reports to leadership.
  • Collect and document patient and physician feedback, contributing to quality improvement initiatives.
  • Participate in performance improvement activities as directed by leadership.
