About The Position

Tacoma Rescue Mission (TRM) is seeking an Intake and Administrative Specialist for its Downtown Campus. This role is crucial in providing a safe and hospitable environment for those in need, aligning with TRM's mission to support clients, volunteers, community partners, and staff in becoming their best. TRM is a faith-based nonprofit serving Pierce County communities for over 100 years, offering emergency services, supportive housing, and addiction recovery programs with an emphasis on Christian faith, dignity, and inclusivity. The Intake and Administrative Specialist will oversee the intake process for shelter guests, ensure strong team communication, and help maintain a safe, clean, hospitable, and dignifying environment. The position requires providing trauma-informed, person-first, and grace-based services.

Requirements

  • Associate degree in Social Services or a related field, or equivalent working experience.
  • Experience working with or serving alongside marginalized communities.
  • Basic operating knowledge of office equipment, computers, and Microsoft Office Suites.
  • Good clerical skills with exceptional attention to detail.
  • Effective de-escalation skills and ability to maintain a compassionate and positive attitude.
  • Ability to work in and effectively respond to a fast-paced, high-stress environment with little supervision.
  • Capacity to accomplish multiple tasks within a short time.
  • Skilled in clear and effective written, verbal, and electronic communication.
  • Ability to establish and maintain effective working relationships and foster teamwork in a diverse environment using effective and thoughtful interactions and communication.

Responsibilities

  • Greet guests, residents, volunteers, donors, and team members warmly, fostering a welcoming environment.
  • Complete intake procedures and necessary assessments for new guests, providing appropriate resources.
  • Create new profiles in the database, maintain guest files, provide documents to the Data team, and ensure confidentiality.
  • Support guest safety by ensuring shelter protocol adherence.
  • Fulfill reasonable guest requests to ensure comfort and satisfaction.
  • Research and gather information on community services and resources for guests.
  • Provide general front office support, including answering phones and assisting guests.
  • Perform general cleaning tasks.
  • Communicate with the team via internal staff logs and other methods.
  • Conduct regular walkthroughs of the shelter and campus, reporting incidents or work requests.
  • Collect, organize, and maintain inventory of shelter supplies, informing management of needed items.
  • Perform turnover of resident quarters, including cleaning, sanitizing, and laundry.
  • Administer urinalysis and breathalyzer tests for shelter guests as needed.
  • Embody organizational values to support the mission of sharing God's love, hope, and support.
  • Perform other duties as assigned to support operations and ensure an efficient work environment.
