About The Position

This role is responsible for supporting the sales team by managing various administrative and coordination tasks. Key duties include handling customer communications, processing orders, managing bid processes, coordinating logistics for sales teams and shipments, and contributing to marketing and sales development efforts. The position requires strong organizational skills, attention to detail, and the ability to work effectively with internal teams and external clients.

Requirements

  • Experience with processing and sending quotes.
  • Experience entering and tracking sales orders.
  • Proficiency in creating VIN and entering data into Syspro through a configurator.
  • Ability to verify sales order accuracy (price, quantity, delivery).
  • Experience with mailing and emailing outgoing information.
  • Skills in inventory management and updating sales materials.
  • Experience inputting customer information into Outlook and Syspro.
  • Experience establishing mailing/advertising programs.
  • Ability to create and organize bid file systems.
  • Experience managing co-op contracts.
  • Ability to gather information for bids.
  • Experience completing and submitting bid packages.
  • Filing skills.
  • Ability to maintain sales manuals.
  • Experience preparing delivery paperwork.
  • Experience scheduling freight and handling customs paperwork for international shipments.

Responsibilities

  • Receive and dispatch all incoming calls.
  • Process and send out quotes to customers for potential equipment orders.
  • Enter and track sales orders.
  • Create VIN and enter into Syspro through the configurator to create the Bill of Materials for equipment orders.
  • Verify that sales orders are correct (price, quantity, delivery, etc.).
  • Mail and email all outgoing information, including specs, literature, sales manuals, drawings, equipment manuals, and promotional items.
  • Inventory and update sales propaganda (literature, specs, manuals).
  • Input customer information into Outlook and Syspro.
  • Send out mailings and establish new mailing/advertising programs.
  • Create and organize a bid file system, including tracking bids, recording pricing information, and organizing state bid contracts.
  • Manage co-op contracts.
  • Gather information for bids, such as truck information.
  • Complete and submit bid packages.
  • File documents.
  • Maintain sales manuals (pricing, specs, photos).
  • Prepare delivery paperwork for equipment/shipping information.
  • Schedule freight and handle all paperwork, including customs paperwork for international shipments.
  • Schedule flights and hotel rooms for sales teams for Trade Shows.
  • Maintain quotes, orders, and bids filing system.
  • Work with the sales team to remove sales road blocks.
  • Hold the sales team accountable for follow-ups, contract requirements, and growing the brand.
  • Assist in establishing new reps and generating quality leads.
  • Work with production to lay out forecasts of equipment.
  • Manage all governmental bids and contracts.
  • Outline and record all sales processes and work on continued improvement.
  • Help build and maintain a national marketing program.
  • Work with new and existing dealers to grow and expand the brand.
  • Perform all other assigned duties from Supervisor.
