About The Position

The Inside Sales Representative serves as the primary internal contact for a dedicated portfolio of customer accounts, managing approximately $5M in annual business. This role focuses heavily on account management, with the majority of time spent responding to customer email inquiries about parts, orders, and inventory status. The Inside Sales Representative supports the full sales cycle through account management, data analysis, quoting, expediting, and quality assurance, while collaborating closely with cross‑functional teams to ensure a high level of customer satisfaction and account retention.

Requirements

  • Minimum 3–5 years of account management, inside sales, or closely related experience.
  • Proven experience in inside sales and account management with responsibility for a defined book of business.
  • Strong customer service skills with the ability to manage high volumes of email communication.
  • Intermediate to advanced proficiency in Microsoft Outlook, Word, and Teams.
  • Ability to read and analyze customer purchase orders, drawings, and vendor‑supplied reference material.
  • Experience working with ERP systems to review inventory, orders, and shipments.
  • Ability to use business intelligence dashboards and reporting tools for trend analysis and forecasting.
  • Excellent verbal and written communication skills for both internal and external stakeholders.
  • Strong attention to detail and accuracy in quoting, data entry, and record management.
  • Ability to collaborate effectively with purchasing, sales, logistics, and other cross‑functional teams.
  • Demonstrated reliability and consistency in attendance and performance.
  • Ability to learn and implement new technology and strategies quickly.

Responsibilities

  • Respond to high volumes of customer email inquiries regarding order status, inventory availability, and delivery timelines in a timely and professional manner.
  • Access and navigate the ERP system to review inventory levels, stock status, open orders, and incoming shipments to provide accurate information to customers.
  • Communicate regularly with purchasing and buyer teams to confirm purchase order placement, validate order accuracy, and resolve discrepancies.
  • Utilize business intelligence dashboards and reporting tools to analyze trends, forecast customer needs, and support proactive account management.
  • Provide accurate and timely quotes for new products, including reviewing customer prints and drawings when required.
  • Manage a consistent book of business of approximately $5M, maintaining strong, long‑term relationships with assigned accounts.
  • Identify opportunities to expand product lines or increase part usage within existing accounts, while not engaging in cold calling or active outbound sales.
  • Expedite customer orders when necessary to meet critical needs and delivery deadlines.
  • Work to meet all established Key Performance Indicators (KPIs) related to responsiveness, accuracy, and account performance.
  • Represent the company professionally and courteously in all customer and internal interactions.
  • Partner with the Sales team to ensure account retention through seamless customer support, resource coordination, and order‑related troubleshooting.
  • Perform data entry, quote support, record management, research activities, logistics coordination, and shipment scheduling in line with defined processes.
  • Manage all customer master data, including shipping conditions, contract pricing, contact information, CRM data, invoicing details, and order entry information.
  • Proactively drive account management activities while executing tasks that support the sales process and move opportunities forward.
  • Collaborate with cross‑functional teams to identify, investigate, and resolve customer issues effectively.
  • Support and improve customer Vendor Managed Inventory (VMI) programs, including adding, changing, or deleting items to enhance service levels and profitability.
  • Follow company guidelines to establish selling prices and profit margins, and research and address profitability concerns when they arise.
  • Assist in preparing continuous improvement reviews and business reviews for customers.
  • Manage customer portals for demand planning, quote requests, and corrective actions to ensure accurate and timely information flow.
  • Build and maintain strong customer relationships, serving as a trusted consultative advisor to assigned accounts.
  • Promote additional products and services through weekly sales initiatives or company promotions when appropriate.
  • Perform other duties as assigned to support the sales organization and overall business objectives.
