About The Position

The Inside Sales Coordinator will support Omega Morgan's Business Development, Sales, and Project Estimating teams by strengthening project intelligence, improving bid readiness, and helping create a more complete and professional customer-facing output.

Requirements

  • 3 to 7 years of experience in inside sales, sales coordination, business development support, estimating support, project coordination, construction administration, market research, or a related role.
  • Strong research skills with the ability to locate project information, identify stakeholders, and summarize findings clearly.
  • Comfortable using AI tools, CRM systems, construction databases, LinkedIn, company websites, public records, permit searches, and other digital research platforms.
  • Highly organized and detail-oriented, with the ability to manage multiple projects, deadlines, contacts, and bid opportunities at the same time.
  • Strong written communication skills with the ability to create clear summaries, organized notes, professional emails, and customer-facing materials.
  • Ability to review bid packages and identify missing, unclear, or incomplete information.
  • Comfortable communicating with vendors, contractors, customers, and internal stakeholders.
  • Strong follow-up discipline and ability to keep information moving between Business Development, Sales, Estimating, and Operations.
  • Practical, resourceful, and curious, with a willingness to dig for information and find new ways to locate project stakeholders.
  • Team-oriented mindset with a strong desire to support commercial growth and improve customer output.

Nice To Haves

  • Experience supporting construction, industrial services, logistics, utilities, data centers, advanced manufacturing, energy, infrastructure, or project-based sales environments is preferred.
  • Experience with CRM systems and sales pipeline tracking.

Responsibilities

  • Monitor public and private sources for new project opportunities in Omega Morgan's target markets, including data centers, advanced manufacturing, energy, utilities, semiconductors, infrastructure, industrial facilities, aerospace & defense and other capital-intensive sectors.
  • Use AI-enabled tools, construction databases, public filings, permit searches, news sources, industry publications, company websites, and other research methods to track project status and identify relevant updates.
  • Maintain awareness of key project milestones, including site selection, entitlement, permitting, design, preconstruction, contractor selection, construction start, equipment procurement, commissioning, and operational ramp-up.
  • Identify and track key project participants, including owners, developers, general contractors, construction managers, EPC firms, mechanical contractors, electrical contractors, OEMs, Integrators, logistics partners, and major subcontractors.
  • Find new and creative ways to locate stakeholders, decision makers, and influencers tied to specific project and trends in project timelines as it relates to bid cycle.
  • Research and document project teams for active and forecasted opportunities.
  • Support Business Development in identifying the right contacts within general contractors, EPC firms, developers, owners, OEMs, and trade partners.
  • Build stakeholder maps for strategic projects, including company roles, contact names, titles, locations, relationship history, and potential relevance to Omega Morgan's services.
  • Support outreach preparation by gathering project context, contact details, company background, and relevant talking points.
  • Maintain accurate records of contractors, vendors, customers, and project contacts in CRM or other designated systems.
  • Receive, organize, and review incoming bid opportunities, RFQs, RFPs, invitations to bid, prequalification requests, and related customer inputs.
  • Conduct an initial pass to determine whether bid packages are complete or incomplete.
  • Identify missing information, unclear scope items, schedule gaps, incomplete drawings, missing specifications, unclear commercial terms, and other items that may impact estimating or proposal quality.
  • Coordinate with Business Development, Sales, and Estimating to ensure required information is captured before a bid is advanced.
  • Prepare bid intake summaries that clearly outline scope, due dates, customer requirements, risks, missing information, and next steps.
  • Support bid/no-bid discussions by organizing relevant project details and opportunity context.
  • Support the development of bid presentations, proposal packages, executive summaries, and customer-facing pursuit materials.
  • Help organize Omega Morgan's capabilities, experience, project examples, safety information, logistics approach, and value proposition into a clear and professional format.
  • Work with Business Development, Sales, Estimating, and Marketing to improve consistency and quality in customer deliverables.
  • Support the preparation of project-specific pursuit materials that demonstrate Omega Morgan's ability to solve customer problems related to rigging, transportation, storage, logistics, equipment setting, and project execution.
  • Assist in creating customer-ready summaries that help differentiate Omega Morgan from competitors.
  • Conduct outreach to vendors, subcontractors, OEMs, trade partners, and other outside parties as needed to support bids, research, project intelligence, and prequalification efforts.
  • Request information from vendors, including pricing, availability, lead times, capabilities, insurance information, safety documentation, certifications, and other required inputs.
  • Track vendor responses and follow up as needed to keep opportunities moving.
  • Help maintain vendor information and support the development of reliable partner networks in strategic markets.
  • Coordinate customer and contractor prequalification requirements as necessary.
  • Assist with gathering and submitting required documentation, including company information, safety records, insurance certificates, financial information, references, certifications, project experience, and compliance materials.
  • Track prequalification status, upcoming renewals, required updates, and missing documentation.
  • Work with internal teams to ensure Omega Morgan remains ready and eligible to pursue targeted opportunities.
  • Maintain accurate CRM records for projects, companies, contacts, pursuit status, bid activity, follow-up items, and relationship history.
  • Ensure project and contact information is organized, current, and actionable for Business Development, and Sales.
  • Support pipeline reporting by updating opportunity stages, next steps, key dates, estimated values, and known project participants.
  • Help create visibility into market activity, pursuit progress, and upcoming bid opportunities.
  • Use consistent naming conventions and data standards to improve CRM quality and reporting accuracy.
  • Support Business Development and Sales with research, meeting preparation, contact lists, project summaries, follow-up tracking, and customer communications.
  • Assist with scheduling, document organization, presentation preparation, and internal coordination related to strategic pursuits.
  • Help prepare call notes, meeting summaries, action items, and follow-up materials.
  • Support cross-functional communication between Business Development, Sales, Estimating, Operations, and Marketing.
  • Provide flexible inside sales support as priorities shift across markets, accounts, and strategic opportunities.
  • Use AI-enabled tools to support project tracking, research summaries, contractor identification, account planning, and customer-ready materials.
  • Evaluate and recommend tools, databases, workflows, or process improvements that can improve project surveillance, lead generation, bid tracking, and sales productivity.
  • Help standardize research outputs so project intelligence can be quickly understood and used by internal teams.
  • Maintain a practical understanding of construction databases, CRM systems, LinkedIn Sales Navigator, ZoomInfo, permit platforms, AI research tools, and other sales enablement resources.
