About The Position

Provides administrative support to the sales team and our agency partners. Ensures open channels of communication and distribution of resources between home office, account managers, and agency channel. Responds to advisor and team member requests in a timely way to facilitate the sales effort and conversion through the advisor channel. The successful candidate will be a hardworking, energetic, detail-oriented individual with excellent follow-up skills and a positive “can do” attitude. Must be a team player who is able to understand and represent the brand, be flexible and able to multi-task while managing projects independently. The coordinator must be willing to take on ‘lower level’ and ‘higher level’ work based on the needs of the business. OBJECTIVES OF ROLE: Provide sales & servicing support for agency partners, National Account Managers & Business Development teams to include problem solving, expediting priorities & follow-up activities. Manage sales team, advisor rewards, & advisor on tour inboxes, responding within 24 hours & owning resolution. Assist with Tauck Reservations team inquiries & support for all sales activity. Support Sales promotional programs to include redemption & fulfillment process, maintaining necessary tracking, as well as fielding inbound communications with participating agencies.

Requirements

  • Bachelor’s degree and two + years related experience in customer service environment
  • Ability to organize and manage simultaneous projects with a strong attention to timeliness and detail.
  • Excellent oral and written communications skills to effectively communicate the Tauck brand
  • Strong interest in travel and guest satisfaction
  • Demonstrate ability to analyze and interpret inquiry issues
  • Proven effective problem solving techniques
  • Thorough knowledge of computer skills in Microsoft Office; MS Excel, PowerPoint and Word
  • Proven abilities to function effectively in a collaborative environment with internal as well as external contacts

Responsibilities

  • Maintain & update agency records in database, including all monthly and year-end changes to agency affiliations & sales territory assignments as well as new agency enrollment.
  • Assist with promoting Advisor Rewards program to advisor community by communicating a full understanding of rules, coordinating tracking, redemption process & responding to all inquiries.
  • Promote the use of Tauck sales tools & resources to gain greater engagement among Tauck selling advisors.
  • Support conference & tradeshow participation through coordination of sales collateral.
  • Validate, administer & track Day of Show Special programs as well as communicating program details & qualify exception requests
  • Coordinate reservations processes for advisor FAM travel, international media & prize winners including booking, maintaining & communicating all required information, protocols & documents for complimentary travel.
  • Manage all administrative office needs for sales department including business card distribution, office supplies & other needs
  • Provide support to international GSAs.
  • Answer inbound phone calls, check messages, & resolve inquiries effectively & efficiently.
  • Communicate effectively with all agency partners & internal departments in regards to sales efforts.
