Requirements

  • Six (6) years administrative support experience in an office work environment.
  • Requires technical skills and experience in working in business services, administrative, or school setting, or any combination of education and experience that provides equivalent knowledge, skills and abilities.
  • College or Vocational Education, in business office skills may be substituted for the General Experience.
  • Administrative office practices, procedures, purchasing, and budget monitoring.
  • Records retention, document management, confidentiality, and district data privacy requirements.
  • Microsoft Office, Google Workspace, spreadsheets, databases, reporting tools, and district technology systems.
  • Strong spreadsheet, data-entry, data-analysis, and report-preparation skills.
  • Clear communication, accurate proofreading, and excellent customer service.
  • Organization, prioritization, scheduling, and coordination of multiple tasks and deadlines.
  • Work independently, solve problems, and exercise sound judgment within delegated authority.
  • Protect confidential information and build positive working relationships with diverse staff.
  • Learn new technologies and procedures, adapt to changing priorities, and provide guidance and training to others.
  • Identify, recommend, and help implement improvements to administrative processes and workflows.

Responsibilities

  • Provide timely, professional administrative customer service to district staff, administrators, and external contacts.
  • Prepare, format, proofread, and distribute IT correspondence, forms, reports, and other department documents.
  • Respond to routine questions and sensitive or escalated inquiries using established policies and procedures; act on the supervisor’s behalf within delegated authority.
  • Develop and improve forms, office procedures, and administrative workflows to strengthen efficiency and service.
  • Triage escalated tickets from IT Support Specialists, monitor resolution, and follow up with IT Support Specialists or the requestor.
  • Provide administrative support to IT leadership, including calendar management, meeting coordination, preparing meeting materials, and coordinating travel.
  • Coordinate purchasing, requisitions, invoices, payments, and office supplies; maintain supporting documentation and authorize transactions within delegated limits.
  • Assist with IT budget preparation, monitor expenditures, and maintain budget and purchasing records.
  • Monitor and coordinate IT department annual renewals to meet renewal deadlines.
  • Maintain IT department webpage content and department communications.
  • Provide administrative support guidance, training, cross-training, and first-level troubleshooting for department administrative systems, tools, and processes.
  • Design, organize, and maintain department filing structures and shared electronic files.
  • Export, verify, audit, and update district data; identify incomplete or inaccurate information and coordinate corrections with appropriate departments.
  • Research and compile information from multiple sources to prepare statistical and narrative reports, spreadsheets, and data summaries.
  • Safeguard confidential staff, student, and department records and follow district privacy and records-management procedures.
