About The Position

The Transaction Manager (“TM”) supports the brokerage team in coordinating all aspects of industrial commercial real estate transactions. This role ensures smooth communication between clients (landlords, tenants, and developers) and internal departments such as marketing, research, and finance. The TM acts as an organizational hub, streamlining communication, documentation, and process execution, enabling brokers to focus on high-level strategy and negotiations. This role ensures the efficiency of lease transactions and enhances the overall client experience. The TM will also provide general administrative and operational support to the team, as necessary. This is a highly visible role within a performance-driven culture. The ideal candidate combines a working knowledge of commercial real estate transaction mechanics with exceptional organizational skills, a proactive service mindset, and the ability to manage multiple concurrent deals in a fast-paced environment.

Requirements

  • Bachelor’s degree preferred.
  • 3-5 years relevant experience preferred supporting multiple people in the commercial real estate industry or other professional services organization.
  • Active state real estate salesperson or broker license, or ability to obtain within 90 days of hire
  • Detail-oriented, self-starter, well-organized, able to set priorities and handle multiple projects at any given time, and comfortable working in a fast-paced environment independently.
  • Strong oral and written communication skills, including creating and editing marketing materials.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, Teams, and SharePoint, with the ability to learn new software.
  • Experienced with Adobe Acrobat.

Responsibilities

  • Manage the full transaction lifecycle for industrial lease and sale assignments, from tour coordination and RFP issuance through LOI negotiation, lease execution, and post-closing deliverables
  • Preparation of property surveys and tour schedules tailored to tenant requirements.
  • Coordinates and schedules client property tours.
  • May assist with tours, show space, and discuss property specifications, in compliance with local Real Estate Commission guidelines.
  • Prepare competitive property reports.
  • Support the population of internal listing databases on behalf of brokers and maintain listings in the external database (i.e., Costar).
  • Compile property data for clients, including tenant surveys, summary reports, maps, and status updates for listing and/or tenant representative assignments.
  • Provide support for all documentation necessary for transactions such as listing agreements, commission agreements, RFPs, proposals, LOIs, leases, and sales agreements.
  • Use analytical skills to comprehend listing agreements to submit Property Transition Forms for newly awarded landlord representation agreements.
  • Ensure all lease transaction documentation is accurate, compliant, and signed by relevant parties.
  • Monitor contract milestones, lease expirations, and critical deadlines to ensure timely execution and renewal options, and follow up with all parties on the execution as required.
  • Facilitate delivery of property information packages in response to Request for Information (RFIs), Request for Proposals (RFPs), and Letter of Intent (LOIs). Ensuring deadlines are met.
  • Prepare and review comparative financial analyses, total occupancy cost models, and net effective rent calculations to support broker and client decision-making
  • Produce high-quality client-facing deliverables including market surveys, request for proposal (RFP) summaries, transaction status reports, and post-transaction recaps
  • Coordinate with the research team to pull market comps, vacancy snapshots, and submarket data as needed to support active deal assignments; this role is not expected to independently conduct primary market research
  • Serve as internal support coordinating across marketing, research, legal, and operations departments on behalf of the brokerage team — routing requests, escalating issues, and driving cross-functional follow-through
  • Serve as the team’s primary operator and liaison to all technology interfaces including but not limited to: Scoutspace, CoStar, Pipedrive, Company internal systems, Airtable, ZoomInfo, LinkedIn Sales Navigator
  • Maintain the team’s client opportunity pipeline in the customer relationship management database.
  • Maintain lease and property files in a Microsoft Teams and SharePoint environment.
  • Coordinates property signage requests with leasing team, marketing, and vendor.
  • Central point of contact and planner for the team’s client and broker events in collaboration with the Marketing team.
  • Gather and help prepare and distribute marketing materials.
  • Steward and be a liaison between brokers and marketing for marketing campaigns.
  • Work in partnership with Marketing and within brand guidelines to maintain Stream’s brand consistency in reviewing and creating outgoing property marketing materials, including flyers, proposals, tour books, maps, floor plans, surveys, and other sales materials.
  • Oversee commission tracking and aging receivables
  • Support business development activity in managing prospect lists, coordinating pitch logistics, and maintaining an organized library of capability materials, case studies, and market collateral
