About The Position

The Independent Medical Examination Coordinator is responsible for scheduling independent medical evaluations, preparing medical documentation for providers, and managing the entire process from scheduling to report receipt. This role involves significant communication with medical providers, injured workers, attorneys, and internal departments to ensure smooth operations and adherence to policies.

Requirements

  • A High School Diploma or equivalent is required.
  • Minimum experience of 1-2 years in a clerical role.
  • Demonstrated leadership abilities.
  • Strong communication skills, both verbal and written.
  • Working knowledge of MS office suite, including but not limited to Microsoft Word and Excel preferred.

Nice To Haves

  • Extensive knowledge of medical provider environment and terminology preferred.
  • Bilingual skills preferred.

Responsibilities

  • Utilizes IME network whenever possible in scheduling appointments.
  • Handles the auditing and tracking of no-show events.
  • Schedules IME appointments and follows up with providers to verify appointments were kept and reports are received.
  • Sorts records, attaches required forms, and mails them to IME providers prior to scheduled appointments.
  • Sends notifications of IME appointments to injured workers and attorneys.
  • Documents all activities and results in the system, including IME forms.
  • Responds to phone inquiries and/or emails regarding appointment status, transportation arrangements, and special requests.
  • Obtains addendums from doctors when requested.
  • Coordinates transportation, translation arrangements, and other necessary services.
  • Communicates with medical billing to resolve billing issues.
  • Adheres to established IME departmental policy and procedure.
  • Supports departmental initiatives (e.g., robocalls).
  • Contributes to the achievement of established department goals and objectives; adheres to departmental policies, procedures, quality and safety standards, and consistently exhibits Chesapeake's Values and Behaviors.
  • Performs other duties as assigned.
