About The Position

The Inbound Coordinator plays a critical role in managing the receipt, processing, and handling of all incoming food donations and purchased inventory. This position ensures efficient warehouse receiving operations while maintaining food safety standards and maximizing the organization's ability to serve those in need throughout South Florida.

Requirements

  • High school diploma or equivalent required
  • 2+ years’ experience in warehouse operations, logistics, or inventory management
  • Proficiency in warehouse management systems (WMS) and inventory software
  • Strong computer skills including Microsoft Office Suite (Excel, Word, Outlook)
  • Experience with barcode scanning systems and mobile devices
  • Basic understanding of food safety principles and HACCP guidelines
  • Strong organizational and time management abilities
  • Excellent written and verbal communication skills
  • Attention to detail and accuracy in record-keeping
  • Ability to multitask and prioritize in fast-paced environment
  • Problem-solving skills and ability to make decisions under pressure
  • Customer service orientation when working with donors and volunteers

Nice To Haves

  • Experience in food service, grocery, or food bank operations preferred
  • Previous supervisory or coordination experience preferred
  • Forklift certification preferred (or willingness to obtain)

Responsibilities

  • Oversee and update the receiving schedule and collaborate with transportation to obtain arrival times and quantity expected.
  • Manage driver check-in and door assignment process and ensure proper documentation accompanies the load.
  • Delegate incoming loads to appropriate receiving team members based on product type and priority.
  • Monitor and manage inbound flow to optimize dock efficiency and prevent bottlenecks.
  • Ensure all incoming donations are properly documented, weighed, and recorded in inventory management system.
  • Work closely with warehouse management to optimize storage space and workflow.
  • Maintain accurate records of all inbound inventory including weights, quantities, and product types.
  • Ensure proper data entry into warehouse management system (WMS) and donation tracking databases.
  • Work with procurement team on item creation and donation order (DO) creation for new products.
  • Generate daily, weekly, and monthly receiving reports for management.
  • Track and report key performance metrics related to inbound operations.
  • Works with inventory team to reconcile and fix any receiving errors.
  • Ensure all receiving operations comply with food safety regulations and organizational policies.
  • Monitor temperature-controlled deliveries and coordinate proper storage.
  • Identify and properly handle damaged, expired, or recalled products according to established protocols.
  • Report on quality control concerns and determinations to supply chain team for resolution.
  • Maintain receiving area cleanliness and organization standards.
  • Maintain disposal logs for rejected or damaged products and report to pertinent departments.
  • Receive and inspect all incoming shipments, donations, and deliveries.
  • Verify shipment contents against delivery receipts, purchase orders, and donation manifests.
  • Accurately count, weigh, and measure products to ensure proper inventory recording.
  • Identify and report damaged, expired, or substandard products.
  • Sort and organize received items by product type, expiration date, and storage requirements.
  • Accurately received input into the Warehouse Management System (WMS).
  • Update inventory levels in real-time using RF scanners and other tracking systems.
  • Maintain proper stock rotation using FIFO (First In, First Out) principles.
  • Generate and maintain receiving reports and documentation.
  • Safely operate rider pallet jacks, forklift and other warehouse equipment.
  • Perform pre-shift equipment inspections and report maintenance needs.
  • Follow proper lifting techniques and use mechanical aids when handling heavy items.
  • Maintain clean and organized receiving areas.
  • Inspect all received products for quality, safety, and compliance with food safety regulations.
  • Ensure proper temperature control for perishable and frozen items.
  • Report food safety concerns and non-compliant products to supervisors immediately.
  • Follow OSHA safety standards and company safety protocols.
  • Assist with regulatory inspections and compliance audits.
  • Collaborate with warehouse, transportation, and procurement teams.
  • Communicate discrepancies, delays, or issues to appropriate personnel.
  • Provide receiving status updates to warehouse supervisors and management.
  • Document and report any incidents, damages, or safety concerns.
  • Other warehousing activities as required.
