Summary: Import Coordinator The Import Coordinator is responsible for reviewing and processing import transactions for one or more accounts, ensuring excellent and timely customer service. This role involves managing both ocean and air imports, including preparing freight quotes, validating shipping documentation, tracking shipments, and processing invoices. The Import Coordinator will perform all duties in compliance with government import and transportation regulations.

Requirements

  • Proficient in Microsoft Office Suite, particularly Excel and Outlook.
  • Excellent verbal and written communication skills.
  • Exceptional attention to detail to ensure accuracy in documentation and compliance with regulations.
  • Ability to troubleshoot issues and implement effective solutions
  • Minimum 1 year of relevant work experience in the freight forwarding industry or logistics field.

  • Familiarity with CargoWise Enterprise system a plus.

Responsibilities

  • Foster positive client relationships by delivering exceptional and timely customer service in collaboration with other departments and third parties.
  • Manage high-volume and complex air and ocean import transactions, including shipment quotes, booking, documentation, and billing.
  • Proactively track shipments, addressing any delays or issues, and enter milestone data as needed.
  • Invoice customers per rate cards or approved quotes in a timely manner, ensuring adherence to established KPIs and accuracy standards.
  • Issue and process profit share in accordance with company policies and established financial guidelines.
  • Meet all operational KPIs, including but not limited to billing performance, task adoption, and milestone management.
  • Prepare and review all necessary import documentation, including bills of lading, commercial invoices, and customs declarations.
  • Ensure compliance with local and international import regulations and customs requirements.
  • Serve as the primary point of contact for clients, providing regular updates on shipment status and addressing inquiries.
  • Collaborate with carriers and freight partners to negotiate rates and optimize service delivery.
  • Monitor and evaluate carrier performance, promptly addressing any service-related issues.
  • Process shipment data through the company’s system and submit required information to government agencies.
  • Obtain bank and government releases as appropriate and process arrival notices for incoming shipments.
  • Communicate with customs brokers and logistics providers to resolve potential issues or delays.
  • Obtain proper approvals and sign proof of delivery from customers.
  • Audit, pay, and record freight, duty, and other miscellaneous bills pertaining to shipments processed within 48 hours of receipt.
  • Actively engage with our Quality Management System to ensure compliance with industry-leading standards, such as AEO and ISO.
