Requirements

  • 1–3 years of experience in coordination, operations, customer service, or a related field
  • Exceptional organizational skills and follow-through-this is non-negotiable
  • Strong written and verbal communication; you write clearly, professionally, and concisely
  • Able to manage multiple concurrent projects without losing track of any of them
  • Proficient in Google Workspace (Gmail, Calendar, Sheets, Docs)
  • Proactive mindset-you flag problems before they become fires

Responsibilities

  • Own end-to-end scheduling of onboarding and kickoff calls between new customers and Implementation Consultants
  • Facilitate structured kickoff calls that orient customers to the process, introduce the team, and set a clear go-live timeline
  • Maintain accurate, up-to-date project tracking across all active implementations-this is where things get caught, not dropped
  • Send proactive status updates to customers and internal stakeholders; own the follow-up when emails go unanswered
  • Prepare and deliver implementation completion reports at go-live, then formally hand customers off to CAE and TAM teams
  • Serve as a warm, professional point of contact for customers throughout the implementation journey
  • Coordinate QuickBooks and Data Migration implementations in parallel, flagging dependencies before they create delays
  • Maintain clean records in HubSpot and Confluence; identify process gaps and propose improvements
  • Step in to support consultants when capacity is stretched-jumping on calls, handling light questions, and supporting customers in real time
