About The Position

The Administrative Assistant/Immunization Coordinator coordinates all aspects of the immunization program, interacts directly with Health Department management, staff, visitors, and patients. This position contributes to the first impressions of visitors and patients. Patient registration sets the stage for a positive overall experience. Performs a wide range of administrative and office support activities for staff, supervisors, and managers to facilitate the efficient operation of the department.

Requirements

  • High School diploma or equivalent.
  • Medical Assistant certification preferred or previous secretarial/medical office experience acceptable.
  • Current CPR certification.
  • General computer knowledge/skills including outlook, word, and excel.
  • Ability to comprehend vaccination schedules.
  • Complete immunizations A-Z training.
  • Knowledge and ability to perform general record and bookkeeping procedures.
  • Ability to create, record, check, and file various forms, reports, and documents.
  • Knowledge of general office procedures and the ability to follow department guidelines.
  • Proficient general Math and English skills.
  • Ability to be flexible, handle a variety of responsibilities, accepts and adjusts well to necessary or required changes.
  • Ability to communicate effectively and tactfully with the public.
  • Completion of NIMS training and indicated by designation of role and responsibility in public health emergency response.
  • Ability to work in a team atmosphere, customer service focused, and good phone etiquette.

Responsibilities

  • Recommends vaccinations according to the Advisory Committee on Immunization Practices (ACIP) of the Center for Disease Control and Prevention (CDC) guidelines.
  • Provides clerical support for all clinics, schedule appointments, and complete registration.
  • Provides education related to vaccination schedule.
  • Comply with all Health Insurance Portability and Accountability Act (HIPPA) requirements and other regulations.
  • Analyze and interpret patient immunization records; identifies needed immunizations, consulting public health nurse as needed.
  • Screen phone calls and refers to appropriate personnel or resources.
  • Schedules patient for clients.
  • Determines patient’s method of payment, secures insurance information, and receives payments from patients.
  • Account for all money/payments collected in accounting software and prepares deposit.
  • Balance cash drawer daily.
  • Inputs vaccination records into the Indiana State Registry System, CHIRP.
  • Maintains and files all active and inactive immunization forms/patient chart.
  • Travel with public health nurse(s) to assist in clinics held at remote sites for immunizations, health fairs, etc.
  • Demonstrates knowledge of storage and handling procedures.
  • Use DocuWare and WinRecords software proficiently.
  • Assist in the organization and implementation of offsite clinics.
  • Routinely work evening hours to accommodate immunization client needs.
  • Routinely attend School Nurse Meetings to ensure a working relationship and keep abreast of topics and problem-solving issues.
  • Demonstrates knowledge of the core functions and the essential services of public health.
  • Demonstrates knowledge of emergency preparedness plans and the ability to perform the assigned duties.
  • Disseminates incoming mail and gathers outgoing mail.
  • Provides routine and unplanned back up coverage for Vital Records Registrar.
  • Performs related duties as assigned.
  • Serves as contact liaison for our hand sanitizer loan program.
  • Serves as contact liaison for our personal hygiene kits/supplies.
  • Cross-train in administrative and office support functions within the Boone County Health Department. Cross-training is intended to provide operational coverage, support patient services, and assist with the efficient day-to-day operation of the department.
