About The Position

The Metropolitan Museum of Art (The Met) presents over 5,000 years of art from around the world. The IA Associate for Patron Services is an integral part of the Institutional Advancement Department and the Member and Donor Services team within Operations. This role is responsible for prioritizing and providing superior customer service to all Patron's Circle and Leadership Circle groups via phone, email, and letter. The Associate assists with the administrative work of the Operations division of Institutional Advancement by maintaining data integrity, processing payments, creating system documentation, and supporting department-wide initiatives.

Requirements

  • 2-3 years of relevant work experience preferred.
  • Experience in working in fundraising and/or arts and cultural institutions is preferred.
  • Thorough knowledge of fundraising databases.
  • Experience with Tessitura is preferred.
  • Ability to interact with the public and staff in a positive, enthusiastic manner.
  • Ability to enforce Museum policies and procedures while maintaining superior customer service.
  • Ability to follow direction and adjust to changing policies and procedures.
  • Ability to troubleshoot customer service and technological issues; assessing when to escalate to management.
  • Ability to multi-task while completing work in an efficient manner.
  • Ability to work in a collaborative team environment, but also independently as needed.
  • Excellent communication and interpersonal skills via email, phone and letter.
  • Strong organizational skills with the ability to prioritize.
  • Strong attention to detail and administrative skills.
  • Proficiency in Microsoft Office including Outlook and Excel.

Responsibilities

  • Serve as Patrons Circle Concierge by providing initial point of service for all Met Museum Patron Circle constituents.
  • Oversee the Patron Services Outlook inbox and Patron Services phone line, ensuring responses to inquiries are addressed in a timely and professional manner.
  • Create and/or update orders, memberships and constituent records, and process payments.
  • Produce weekly and ad hoc tax receipts and acknowledgment letters for Patron contributions.
  • Print membership cards and arrange any specialized postage.
  • Coordinate with Membership Patron team on strategy for Patron-focused marketing, fulfillment, and event initiatives.
  • Collaborate with Development teams for high-level service concerns, including Friends Groups, Council Groups, and Apollo Circle.
  • Assist with all Member and Donor Services phone lines and the general Member and Donor Services Outlook inboxes.
  • Research processing errors and constituent record discrepancies; run regular (CSI) reports to identify and correct potential issues.
  • Create and maintain documentation, communication templates and FAQ’s to support the Museum’s policies and initiatives for all Members and Donors.
  • Track and escalate feedback to identify areas to optimize Member and Donor communications.
  • Support Institutional Advancement fulfillment operations and serve as backup for fulfillment processing.
  • Support fellow teammates and assist in training new staff.
  • Assist with other administrative tasks as directed by supervisors.
