About The Position

Cold Tech Refrigeration is growing, and we’re hiring an experienced HVAC Service Writer / Dispatcher to support our service operations in Draper, Utah. For more than 20 years, we’ve built a strong reputation across the Salt Lake City area by providing high-quality HVAC and refrigeration services to commercial and residential customers. We pride ourselves on professionalism, teamwork, and long-term employee retention. This role is responsible for coordinating service work, tracking parts and materials, assisting with scheduling and dispatching, processing warranty documentation, and ensuring service jobs move efficiently from start to finish. This is an excellent opportunity for someone who is highly organized, detail-oriented, and experienced in the HVAC or service industry.

Requirements

• 2+ years of HVAC/Refrigeration Service Writer experience
• Strong organizational and multitasking abilities
• Excellent communication and customer service skills
• Strong attention to detail and problem-solving skills
• Proficiency with Microsoft Office
• Ability to work full-time in-office

Nice To Haves

• Dispatching experience
• Experience in the commercial HVAC or refrigeration industry
• Experience with ServiceTitan or similar service management software

Responsibilities

• Coordinate HVAC and refrigeration repair/service jobs
• Assist with dispatching and technician scheduling
• Order and track parts, materials, and equipment
• Follow up on technician recommendations and repair quotes
• Prepare estimates and proposals
• Maintain accurate job records and inventory tracking
• Process warranty claims and manufacturer documentation
• Communicate with customers, vendors, and field technicians
• Support billing, office operations, and service management
• Ensure all paperwork and documentation are completed accurately and on time
