About The Position

Under general direction, incumbent(s) is responsible for the research, management, planning, execution, and communication of various Human Resources (HR) functions related to systems management, software and workflow improvements, position control and reporting. This role involves assisting in managing the position control system, collaborating with other departments, verifying vacancies, developing and maintaining spreadsheets, analyzing and developing reports, assisting with data collection for federal and state reports, monitoring temporary staff processes, interacting with District staff regarding HR functions, processing employee changes, preparing substitute payroll and absence reports, managing substitute certificates, verifying substitute contributions to the Arizona Retirement System, scanning and maintaining confidential employee records, evaluating and managing HR data, compiling and auditing HR data, establishing and maintaining good rapport with students, employees, community members, and vendors, maintaining ethical behavior and confidentiality, and providing supervision, maintenance, and technical support for all HR software. Other related duties may be assigned.

Requirements

  • High school diploma or general equivalency diploma (G.E.D.)
  • Minimum of one (1) year full-time experience in a related field
  • Experience in data entry
  • Recordkeeping principles and practices.
  • Using Microsoft Word, Excel, SharePoint and other computer related programs.
  • Analyzing and monitoring data.
  • Applying record maintenance.
  • Modern office practices.
  • Basic principles and practices in assigned area of responsibility.

Responsibilities

  • Assist in managing the position control system by adding and updating status of positions, ensuring accurate budget coding, reconciling records, and resolving discrepancies between Human Resource and Payroll entries.
  • Collaborate with other department staff to make recommendations and adhere to staffing rubrics.
  • Verify posted vacancies and requests for hire against current budget allocations.
  • Develop and maintain spreadsheets.
  • Analyze and develop reports and distribute them to the Human Resources Department and applicable administration.
  • Assist with data collection required for federal and state reports.
  • Monitor and manage temporary staff processes, including new hire paperwork, discrepancies, status change requests, and position title and salary rates.
  • Interact with District staff regarding Human Resources Management functions such as new hire procedures, posting for vacancies, selection process, certification, and other procedures.
  • Assist and process day-to-day current employee changes within the district's system of record and electronic personal action requests.
  • Provide assistance to the Human Resources’ administrative assistant by preparing substitute payroll, teacher absence reports, managing substitute certificates, and other various reports generated from the substitute system.
  • Verify when substitutes are required to contribute to the Arizona Retirement System.
  • Scan, import, and maintain confidential employee personnel records within the Human Resource document manager.
  • Evaluate, analyze, design/configure, maintain, and supervise all Human Resources data and information.
  • Compile and audit Human Resources related data, including employee relations issues, hiring, budget reconciliation, internal transfers, and contracts/notices of employment.
  • Establish and maintain good rapport with students, employees, community members, and vendors.
  • Maintain a high level of ethical behavior and confidentiality.
  • Perform other related duties as assigned.
