About The Position

As a Human Resources Support Clerk, the role involves systematically converting physical employee files, including payroll records, performance evaluations, employee loan records, and sensitive onboarding documents, into high-quality digital formats. The clerk must adhere to strict internal security protocols to protect Personally Identifiable Information (PII) during handling and scanning. Responsibilities also include applying specific naming conventions and metadata tags for proper categorization and searchability within the HRIS or document management system, and auditing every scanned document for clarity and completeness to ensure legal defensibility. The position requires preparing physical files by removing binders, staples, and clips, and organizing documents chronologically or by category to streamline the scanning workflow. After confirming digital integrity, the clerk will coordinate the secure shredding or long-term archiving of physical files in compliance with the credit union's retention policy and maintain a detailed project log to report on processed file volumes and identify any missing or outdated documentation.

Requirements

  • Education: High school diploma or equivalent
  • Experience: 1–2 years of clerical or administrative experience, ideally within a credit union or professional financial services office.
  • Technical Proficiency: Skilled in operating office scanning equipment and proficient in Microsoft Office (Excel/Word) and PDF management software.
  • Attention to Detail: Must be highly meticulous to ensure no documents are skipped and every file is correctly labeled.
  • Ethics & Confidentiality: A proven track record of handling sensitive personal and financial information with the highest level of discretion.
