About The Position

As a Human Resources Support Clerk, the role involves systematically converting physical employee files, including payroll records, performance evaluations, employee loan records, and sensitive onboarding documents, into high-quality digital formats. This position requires strict adherence to internal security protocols to protect Personally Identifiable Information (PII) during handling and scanning. The clerk will apply specific naming conventions and metadata tags for correct categorization and easy searchability within HRIS or document management systems. Responsibilities also include auditing scanned documents for clarity and completeness, preparing physical files for scanning by removing binders, staples, and clips, and organizing them chronologically or by category. After digital integrity is confirmed, the clerk will coordinate the secure shredding or long-term archiving of physical files in compliance with retention policies and maintain a detailed project log to report on processed volumes and identify missing documentation.

Requirements

  • High school diploma or equivalent
  • 1–2 years of clerical or administrative experience
  • Skilled in operating office scanning equipment
  • Proficient in Microsoft Office (Excel/Word) and PDF management software
  • Must be highly meticulous to ensure no documents are skipped and every file is correctly labeled
  • A proven track record of handling sensitive personal and financial information with the highest level of discretion

Nice To Haves

  • Further education in business administration is a plus
  • Experience ideally within a credit union or professional financial services office

Responsibilities

  • Audit every scanned document for clarity and completeness, ensuring that digital copies are legally defensible and serve as accurate reproductions of the originals.
  • Remove binders, staples, and clips; organize documents chronologically or by category to streamline the scanning workflow.
  • After confirming digital integrity, coordinate the secure shredding or long-term archiving of physical files in compliance with the credit union's retention policy.
  • Maintain a detailed project log to report on the volume of files processed and identify any missing or outdated documentation.
