About The Position

The Arizona Superior Court in Pima County is hiring a detail-oriented Human Resources Specialist I to support both Superior and Juvenile Courts. In this role, you’ll handle essential HR functions including HRIS data entry, employment transactions, onboarding, benefits support, leave administration, and workers’ compensation coordination. You’ll also serve as a key point of contact for employees, vendors, and partner agencies to help ensure smooth and accurate HR operations across the court system. This position is primarily located in the Juvenile Court Center Human Resources office, with additional support provided to Superior Court Human Resources as needed. Provides paraprofessional support to the Human Resources Division of Superior and Juvenile Courts by performing administrative and clerical assignments such as data entry and maintenance of data in the Human Resources Information System; processing and managing leaves of absences, supporting benefits administration and wellness programs, workers compensation, and other human resources functions.

Requirements

  • A Bachelor’s degree in Business or Public Administration or related field and some experience, which could be from certification in HR, internships, or similar; OR an Associate's degree in Business or Public Administration or related field and two years of experience providing administrative support to a human resources function; OR, four years of progressively responsible paraprofessional work experience with two years of experience in one or more areas in human resources; OR, any equivalent combination of experience, education and/or training approved by Human Resources.
  • Ability to pay close attention to detail and detect inconsistencies of data.
  • Skills in researching and compiling data.
  • Knowledge of professional office practices and procedures.
  • Knowledge of the principals and practices of human resources work and/or public administration.
  • Software skills with word-processing, spreadsheets, calendaring, and human resources information systems and/or applicant tracking.
  • Skill of the administration of benefit programs such as health, dental and other insurance and ability to assist new and current employees with their benefit questions and problems.
  • Knowledge of various leaves of absences (FMLA, USERRA) and managing employee leaves.
  • Skills in preparing correspondence, interpreting policies, and solving simple problems or escalating as appropriate.
  • Ability to communicate effectively with diverse audiences such as employees, the public, vendors, and other government agencies.

Responsibilities

  • Enters various data and processes employment transactions in Human Resources Information System (HRIS) requiring attention to detail.
  • Reviews and researches data to detect errors and inconsistencies.
  • Prepares personnel action forms (PAFs) to document transaction such as status, pay and position changes based on source documents such as monthly reports or individual requests.
  • Processes employment candidates’ information; onboards new hires and assists current employees with employment verifications, benefits, status changes, and other requests.
  • Coordinates the completion of resignation, retirement and similar notices to off board exiting employees.
  • Assists employees with interpretation of policies and procedures; provides and processes forms, and procedures.
  • Advises employees of leave options; processes and manages leaves of absences.
  • Provides reports on employment, leave and other transactions as requested.
  • Advises employees of benefit programs and eligibility; may be required to research issues and follow-up with employees.
  • Coordinates requests for temporary coverage for regular employee absences; maintains request documentation, seeks approval if/as needed and keeps coverage logs.
  • Contacts temporary agencies and intermittent employees to secure coverage.
  • Tracks temporary employee timecards and reviews the accuracy of temporary agency invoices.
  • Performs as the human resources representative interfacing with the public, contracted vendors, State of Arizona and Pima County staff to coordinate the administration of benefit programs, and process workers compensation claims.
  • Coordinates the completion of forms and maintains logs for workers compensation and OSHA.
  • Composes letters and other documents concerning human resources, leave of absences, and issues related to workers compensation claims.
  • Completes special assignments such as various reports or surveys; researches new benefits or programs and/or compiles statistics as required.
  • Assist with AmeriCorps program administration.
  • Assist with per diem, internship and externship processes and program administration.
  • Assist with coverage for the Pima County Superior Court’s 9th floor Reception or Juvenile Court Human Resources Office’s front desk.
