About The Position

The Human Resources Specialist will administer the complete employee lifecycle in the HRIS system from hire through termination. This role involves responding to HR-related questions from employees via office, email, or phone, assisting with employee benefit programs, and maintaining personnel, benefits, grievance, and additional files to company standards. The specialist will also interface with Payroll on adjustments, review onboarding documents for completion and compliance, and respond to audits accurately and timely. Additionally, this position will assist with internal communications to improve engagement and build an inclusive workplace, coordinate employee appreciation activities, and administer company leave of absence policies, including FMLA, LOA, and disability accommodation under ADA/ADAA. The role may also involve creating process documentation, assisting other managers with special assignments, and performing other duties as assigned.

Requirements

  • Minimum of 1-3 years of Human Resources experience within a customer-facing environment is essential
  • Proficient with Microsoft Office Suite
  • Demonstrated basic knowledge of FMLA/LOA, Benefits, and Recruiting
  • Must have demonstrated ability to work both as a team member and on own initiative
  • Able to organize and complete routine tasks to set standards
  • Be able to carry out any other necessary duties as agreed with the Management Team.
  • Requires strong communication, writing and customer service skills
  • Must have strong organizational skills
  • Must be detail oriented
  • Being able to work in a fast-paced environment
  • Ability to maintain confidentiality and exercise extreme discretion

Nice To Haves

  • Previous administration experience is desired
  • Working knowledge of payroll and HRIS systems
  • UltiPro (UKG) knowledge helpful
  • Demonstrated ability to effectively work in a labor union environment preferred

Responsibilities

  • Administer complete employee lifecycle in HRIS system from hire through termination
  • Respond to all HR-related questions from employees either in office, via email or over the phone
  • Assists with employee benefit programs consistent with corporate guidelines and informs employees of benefits
  • Maintain personnel, benefits, grievance and additional files to the Keolis file standards
  • Interfaces with Payroll on some payroll adjustments
  • Review onboarding documents to ensure completion and compliance
  • Respond to audits timely and accurately
  • Assist with internal communications tools to enable process improvement related to increasing engagement and building an inclusive, supportive workplace
  • Assist with events and projects associated with organizational culture development
  • Coordinate employee appreciation activities
  • Assist administration of company leave of absence policies, FMLA, LOA, including disability accommodation under ADA/ADAA and other statutory leave entitlements.
  • Create process documentation and work instructions for all tasks performed
  • Assist other managers with approved special assignments as needed
  • Other duties as assigned
