About The Position

This position is responsible for facilitating the efficient operation of the Human Resources Department. The role involves managing various HR processes including background checks, EEOC claims, ID badge creation, I-9 authorization, Section 504 coordination, and policy revisions. The specialist will also initiate employment offers for athletic coaches and ensure their background checks and licensure are cleared. This role requires strong organizational skills, attention to detail, and the ability to handle confidential information with discretion.

Requirements

  • Ability to perform each essential duty satisfactorily.
  • Demonstrates oral and reading proficiency in English.
  • Demonstrates ability in secretarial/clerical skills to include word processing.
  • Experience in secretarial/clerical work.
  • High School Diploma or GED.
  • Ability to meet and deal with the public.
  • Ability to establish and maintain effective working relationships with associates.
  • Ability to compose correspondence.
  • Ability to follow written and verbal instructions.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to make routine decisions independently.
  • Minimum of three (3) years experience in the area of personnel management.
  • Ability to read and interpret documents such as safety rules, and maintain instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively to employees.
  • Working knowledge of business English, and Spelling.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute percents, ratios, rate, and to draw and interpret bar graphs.
  • Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.
  • Ability to deal with problems involving a few concrete variables in standardized situations.
  • Maintains emotional control under stress.

Responsibilities

  • Complies with the state approved Code of Ethics of the Education Profession and upholds and enforces department/unit procedures, administrative directives and state statutes concerning the confidentiality of all staff information.
  • Promotes positive community relations through effective communication with prospective employees, Gadsden Independent School Employees, and community members.
  • Processes Background Checks, including setting appointments for fingerprinting, distributing necessary documents, and maintaining a database of fingerprint information.
  • Manages the filing of fingerprint information and archives expired clearances.
  • Collaborates with the Licensure Coordinator and Substitute to ensure background checks are cleared for Licensure.
  • Processes original EEOC claims by copying and providing necessary information to attorneys and preparing/mailing packets.
  • Creates ID badges for all new employees, CSA’s, and volunteers, and replaces lost/damaged badges, collecting a fee for replacements.
  • Fills out I-9 information for all new employees, verifies eligibility for employment, makes copies of identification, and attaches them to the I-9 form for the Personnel File.
  • Maintains a log of employees with Resident Alien Cards, including expiration dates, and requests new cards as needed.
  • Coordinates Section 504 processes by scheduling meetings, preparing documentation, and facilitating meetings with staff and HR.
  • Revises policies to fit new formats, forwards them for approval, makes changes as noted, and prepares final drafts for Board Approval.
  • Assures that final policies are forwarded to administrators and/or designated contacts.
  • Initiates the offer of employment for athletic coach employees and follows up with necessary paperwork.
  • Verifies background check and licensure of all athletic coach employees prior to the start of a coaching season.
  • Performs other duties as assigned.
