About The Position

Metrolinx is seeking a Human Resources Services Coordinator for a 12-month contract role to provide excellent customer service to Metrolinx employees and people managers. The coordinator will act as a first point of contact for inquiries through multiple HR service delivery channels such as phone calls and a case management system. They will respond to employee queries around policies, procedures, collective agreements, and employment-related legislation, as well as work cross-functionally with HR and other departments to resolve open cases in a timely fashion, embodying the Employee Promise through interactions with employees and people leaders. This role is an in-office position (5 days per week) based at our downtown Toronto location. Our HR team is highly collaborative, and much of our work benefits from in-person co-creation, relationship-building, and hands-on partnership with leaders across the organization.

Requirements

  • Completion of a diploma in Business Administration, Human Resources, or a related discipline - OR - a combination of education, training, and experience deemed equivalent.
  • Demonstrated experience/training in human resources with a focus on onboarding, benefits administration along with employee lifecycle processes and related documentation.
  • Knowledge of HRMS systems, such as Oracle, PeopleSoft, Org Plus, Workbrain.
  • Experience with MS Office (Outlook, Word, Excel, PowerPoint, Visio).
  • Research skills to gather data leading to policy formulation relating to employee benefits and used for contract negotiations.
  • Interpersonal, oral/written communication to effectively communicate with employees, and respond to requests for information from external stakeholders and benefit providers.
  • High attention to detail to collect, document and record information which initiates employee lifecycle changes accurately while adhering to strict deadlines.
  • Must be legally entitled to work in Canada.

Nice To Haves

  • Experience working in a unionized environment would be an asset.
  • Experience with Case Management technology/systems and Customer Relationship Management Systems (CRM) would be an asset.
  • Certified Human Resources Professional (CHRP) or Certified Human Resources Leader (CHRL) designation would be an asset.

Responsibilities

  • Handle incoming/outbound employee inquiries through 1-800, emails, phone calls and entry to case management system in real time.
  • Track requests and issues in the case management system, managing activities up to and including case resolution while ensuring quality customer service standards are met.
  • Develop and maintain HR Services documents and resources on the HR intranet in partnership with HR.
  • Initiate, direct and finalize employee documentation (e.g., hires, transfers, leaves of absence, benefits changes, employment terminations) and submit completed documents to internal business units and external authorities for processing.
  • Coordinate all employee information required for input into the HRMS system to ensure accurate, timely and up-to-date employee records.
  • Participate in process reviews and continuous improvement initiatives by identifying/documenting issues that adversely impact or do not contribute to customer service standards, conducting root cause analysis, and proposing resolutions that create efficiencies while improving the customer experience.
  • Support HR in administering their programs and initiatives as part of the strategic plan (includes Organizational Development, Total Rewards, Employee Labour Relations, Talent Management) by distributing information/communication, responding to related inquiries, collecting and recording receipt of documents/records.
