About The Position

Performs a higher level of a variety of complex and administrative duties in an office environment that supports the overall function of the office. Provides administrative support to department, school, or college and may act as the key administrative support person for the unit. May provide oversight of student and temporary employees. Involves the exercise of independent judgment and discretion about matters of significance. This is a limited funded position slated to end June 30, 2027 with the possibility of continuation.

Requirements

  • Bachelor’s degree and two (2) years of relevant experience which may include customer service, human resources, or office environment OR an Associate's degree (or two years of college) and four (4) years of relevant experience mentioned above.
  • Ability to communicate effectively both in written correspondence and when speaking with various individuals.
  • Knowledge of office workflows and document preparation.
  • Strong Microsoft Outlook and Excel skills.
  • Strong organizational skills.
  • Ability to maintain prompt and regular attendance in the workplace.

Responsibilities

  • Acts as the frontline resource for the department of Human Resources. Greets customers in person, via telephone, and/or by email. Seeks to identify customer needs; provides tier-one level assistance (e.g. copies of documents, questions regarding insurance cards, requests for routing of documentation, and other similar issues); responsible for issue resolution and follow-up.
  • Works with subject-matter experts within HR regarding complex inquiries requiring specific information, guidance or direction to respond appropriately.
  • Assists current and prospective faculty/staff with HR related matters and maintains high standards of confidentiality of all employee records and information.
  • Reviews employee records or other HR documents and ensures completeness, accuracy and conformity with established procedures; collects data to maintain such records, routes actions to the appropriate person or department, as needed.
  • Types correspondences, reports and similar materials; Proficient in Microsoft Office software.
  • Assembles and/or compiles a variety of data from office records provided by various sources for incorporation into reports; extracts and provides information using a variety of identifiable sources.
  • Tracks and maintains records and statuses of processes, actions, reports, etc. used in department; follows up on processes or items as needed.
  • Responsible for the onboarding of new hires to include staff, faculty and temporary employees.
  • Serves as an onboarding specialist to include preparing new hire paperwork, drafts employment letters, requests I-9s and manages the scheduling of orientation for employees.
  • Works with assigned HR Partners to track completion of onboarding journeys. to include completion of compliance related documents for electronic employee files.
  • Uses reports to perform weekly journey updates.
  • Manages the temporary recruitment process.
  • Ensures compliance with salaries and job families on all requests prior to approval.
  • Communicates with departments any necessary actions or changes required.
  • May escalate any issues or non-compliance related matters to the hiring officials or assigned HR Business Partners.
  • Manages all processes for new hire benefit’s enrollment to include creating new hire information in the State’s Edison software; obtains, reviews and uploads required documentation; Loads premium deductions and retirement elections.
  • Prepares new employee packets for New Employee Orientation; assists with various workshops, meetings and seminars ensuring sessions are conducted correctly.
  • Use various reporting tools to update, track, and manage changes required.
  • Counsels employees regarding eligibility requirements for their personal changes and/or changes of dependents for all benefit plans; Ensures processes are appropriately documented and manage the employee benefit enrollments, changes, and terminations for all insurance plans in University payroll system and State of TN insurance system.
  • Notifies employees as needed to address questions, issues or matters as directed by the State Benefits Administration.
  • Tracks new enrollments to ensure employees meet the allotted deadlines.
  • Consults the Benefits Specialists for any retroactive changes for appropriate reconciliations.
  • May guide and assist employees with updates to include name change requests, transcript receipts and documentation, supplemental jobs such as cell phone allowances and external verification of employment.
  • Collaborates with various offices including other campus colleagues and external agency’s to ensure appropriate documentation of system changes. This includes the Registrar’s Office for student records and the State’s Edison software for employee related changes.
  • Responds to subpoenas and Loan Forgiveness verification and other pertinent employment requests.
  • Assists employees with general questions regarding policies, procedures, performance appraisals, exit interviews/process, and guidance on employee relations and complaint processes.
  • Assist employees with registration and questions regarding HR Trainings.
  • Assists with recognition programs including organizing and distributing recognition awards packets.
  • Performs other duties as assigned.
