About The Position

This individual provides essential front office administrative and operational support to the Human Resources team and plays a key role in delivering a positive and engaging employee experience. This position supports core HR functions including employee data management, onboarding, internal communication, compliance processes, and engagement event coordination. Ideal candidates are detail-oriented, organized, and professional, with the ability to manage multiple priorities while maintaining confidentiality and a service-first mindset. This role is vital to ensuring HR operational excellence and promoting a collaborative and employee-centered culture.

Requirements

  • 1–2 years of experience in human resources, administrative support, or customer service
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Excellent organizational and time-management skills with the ability to manage multiple priorities
  • Strong written and verbal communication skills
  • High level of discretion and commitment to maintaining confidentiality
  • Detail-oriented with a proactive approach to problem-solving and continuous improvement

Responsibilities

  • Greet all employees, vendors, and visitors at the front desk.
  • Serve as the primary contact for mail distribution and ownership of the HR inbox, ensuring timely and appropriate routing and response to inquiries.
  • Manage core HR administrative functions, including processing employee terminations and ordering office supplies.
  • Maintain and update employee records in HR systems, ensuring data accuracy and compliance with company policies and regulatory requirements.
  • Collaborate on key HR processes, including new hire onboarding and status changes, by ensuring timely and accurate data entry and coordination.
  • Support planning, logistics, and execution of employee engagement activities and internal events under the direction of the lead event coordinator.
  • Post internal communications, announcements, and updates on company platforms (e.g., Pulse) highlighting employee programs, events, and perks.
  • Answer and route incoming calls on HR phone lines, providing friendly and professional service to employees and external contacts.
  • Maintain strict confidentiality of employee and organizational information at all times.
  • Provide general administrative support to the HR team and assist with special projects and other tasks as needed.
