About The Position

The Human Resources (HR) Generalist provides administrative and operational support to the Human Resources department and assists in the delivery of employee services throughout the employment lifecycle. This role is responsible for maintaining accurate employee records, coordinating recruitment and onboarding activities, administering HR programs, supporting payroll and benefits processes, and ensuring compliance with company policies and applicable employment legislation. The HR Generalist acts as a professional and confidential resource to employees and management while contributing to a positive employee experience and supporting organizational objectives. This role reports to the People & Talent Manager.

Requirements

  • Diploma or Certificate in Human Resources, Business Administration, or a related discipline.
  • Minimum 2 years of administrative experience, preferably in Human Resources.
  • Strong understanding of employment legislation and HR best practices.
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Excellent verbal and written communication skills.
  • Ability to maintain strict confidentiality.
  • Strong interpersonal and customer service skills.
  • Ability to prioritize multiple tasks in a fast-paced environment.
  • Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and Teams.

Nice To Haves

  • Chartered Professional in Human Resources (CPHR) designation or working toward designation is considered an asset.
  • Experience in construction, mining, heavy equipment, or industrial environments is considered an asset.
  • Experience with HRIS and payroll systems is preferred.
  • Experience using HRIS and applicant tracking systems is an asset.

Responsibilities

  • Assist with recruitment activities including assisting the recruitment team with posting job advertisements, scheduling interviews, and coordinating candidate communications.
  • Prepare offer letters, employment agreements, and new hire documentation.
  • Assist the recruitment team with pre-employment requirements including reference checks, background checks, driver's abstract requests, drug and alcohol testing, and trade certification verification where applicable.
  • Coordinate new employee onboarding and orientation.
  • Ensure all employee documentation is completed accurately before employment commences.
  • Maintain confidential employee personnel files in accordance with privacy legislation.
  • Prepare employment letters including confirmation of employment, salary verification, and other HR correspondence.
  • Maintain employee records including: Personal information, Employment status, Wage changes, Promotions, Transfers, Performance documentation, Training records, Certifications and licences.
  • Update HRIS and employee databases ensuring information remains accurate and current.
  • Assist with employee onboarding and offboarding documentation related to payroll.
  • Assist with benefits communications and initiatives.
  • Respond to employee inquiries regarding benefits and HR programs.
  • Support the administration of vacation, leaves of absence, and other employee entitlements.
  • Respond to routine employee inquiries regarding company policies, procedures, and HR programs.
  • Maintain confidentiality when handling sensitive employee information.
  • Assist with employee recognition initiatives and engagement activities.
  • Support performance review administration and documentation.
  • Coordinate employee training registrations and maintain training records.
  • Ensure HR documentation complies with applicable federal and provincial employment legislation.
  • Maintain compliance with company policies and procedures.
  • Assist with audits of employee files.
  • Ensure mandatory employment documents are completed and retained.
  • Maintain records required for employment standards and regulatory compliance.
  • Prepare HR reports and metrics as requested.
  • Maintain recruitment, turnover, training, and employee statistics.
  • Assist with preparing documentation for audits and inspections.
  • Support HR projects and continuous improvement initiatives.
  • Maintain HR forms, templates, and documentation.
  • Coordinate meetings, interviews, and training sessions.
  • Prepare presentations and reports.
